Questions and Answers

The following questions were received in response to Solicitation 36C25222Q0937. Answers are immediately below each question, in red.

(1) Is the cleaning company responsible for your recycling program and to what extent?

Yes, to the extent that housekeeping will collect recycling from the appropriate containers and deposit them in the appropriate recycling dumpster by the loading dock. Sorting of bottles, cans, and plastic is not required.

(2) Service Contract Act Employees. Current SCA covered employees, providing service at the Milo C.

Huempfner VA Outpatient Clinic, have been through the background and security checks for the current contractor. Are these employees eligible for hire without going through the background checks as outlined in the solicitation?

Yes. All the current contracted housekeeping employees have fingerprints on file and have a completed background check they would not have to do this again. It would strictly be the administrative process of changing the name of the contractor.

(3) Will the Government provide an administrative office area for the contractor?

Yes. There is an office that also serves as a break room and supply room.

(4) What are the types of toilet paper and paper towels that are used?

We do not specify brand. The current vendor uses Georgia-Pacific products:

Roll Towel: “En Motion” 89480

Multi fold: “Pacific Blue” 23304

Toilet Paper: “Compact Coreless” 19375

(5) Is the staffing requirement for Monday – Friday only?

Yes, Monday through Friday only, excluding Federal holidays.

(6) Can we get temporary badges for our employees if we perform our own background checks?

No, the background check must be done by the VA.

(7) How does the badging process work for Green Bay, WI VA Facility? How long does it take from start to finish?

The badging process take approximately 3-4 weeks to complete and includes the following steps:

• Employee background check fingerprinting is needed prior to starting:

o The COR fills out Contractor SAC form for fingerprinting;

o The COR, COR’s designee, or the company sets up a fingerprinting appointment by calling Dispatch; and o The employee brings the SAC form with them to their fingerprinting appointment.

• After the background check has cleared (takes approximately 3-5 business days) the COR or

COR’s designee requests a PIV appointment for each employee. Due to a high turnover rate, there is a two-week waiting period before a PIV appointment can be scheduled.

• Dispatch will schedule the PIV appointment and e-mail the COR with the date and time of the appointment. The COR will notify the company with the PIV appointment information.

• Note: While waiting for a PIV card, an employee may be issued a temporary access card.
