See CONTINUATION Page X The purpose of this amendment is to provide answer to questions for this solicitation.
1. General Duties: E. Based on the layout of locations, the team members shall conduct inventories daily until completion at each location. Will Floorplans be made available to the winning vendor?
Answer: Yes
1. General Duties F. Team members shall record the following data per equipment: room location, EE number, brief description, manufacturer, model number, serial number, physical inventory date, and use status. It is our understanding that the primary intent is for the vender to update and verify the existing information provided on the vendor Spreadsheet which was initially entered by VA staff. Is that correct?
Answer: Yes
1. General Duties G. If equipment does not have a bare code ID, team members shall apply a generic bar code and record all necessary and available information. Would this be a circumstance where the bar code has fallen off (or been damaged) a previously inventoried item and the item information is already listed in the spreadsheet? If no, please clarify additional circumstances that might lead to equipment not having a bar code?
Answer: In the case of a missing barcode all other information will be gathered in order to conduct the inventory as well as a replacement barcode that is assigned to the product will be replaced as soon as possible.
1. General Duties I: All items requiring further attention from each facility shall have a barcode. The stickers shall be in accordance with the facility’s regulations, not exceeding ½ inch in size and excluding previous years’ colors. Please provide examples of circumstances that would require additional attention.
Answer: Yes, in most cases a barcode will be present and legible to be scanned. Certain items that do not permit a label such as endo scopes will be verified by the serial #, make, model, etc.
1. Un-Tagged Equipment: All equipment that is un-tagged and requires new entry into the master file shall receive a barcode. The barcode will be used to identify equipment in rooms needing follow-up attention and entry into AEMS/MERS by VA facility personnel. Contractor shall provide the Supply Chain Management staff with the un-tagged listing daily to ensure equipment is found quickly. With the focus on the VA provided inventory list, how would the vendor identify items that are not inventoried but should be? Please clarify and provide examples.
Answer: Yes, the NX staff should provide EIL's per location in order to properly track equipment per location (Main Hospital/CBOC/etc.).
1. Are doorframes tagged with a barcode to help with location entry?
Answer: Yes, in most cases. In instances where a barcode may not be available, work with your VA team member to identify the proper label or they may obtain one for you.
1. What is the physical location in paragraph 5 of the SOW associated with the codes in the Location Indicator column of the “Copy of Equipment not Inventoried” spreadsheet?

1. How can we obtain access to the references in paragraph 3 pf the SOW?

1. Answer: All/most items should have barcodes to exclude example noted previously in question 5. All items are recorded in an online database called AEMS/MERS or Above PAR. Items will be reflected on the inventory provided to the contractors.

1. In the documentation there is reference to a specific Data Locker encrypted drive SENTRY30 82520172 DATA LOCKER 3A208-77 I work for a company called iStorage. We are world leader in TAA complaint and FIPS accredited encrypted drives. We are US government approved and sell in the US. I was interested that you specifically listed the Data Locker product. The Data Locker product is a very good one so I’m not trying to sell you and alternative, I was just wandering what the reason was for specifically asking for this. Is this the VA approved product? If it is how would iStorage try and get on this list?
Answer: We did further research and cannot find where the device was mentioned in this requirement.
