QUESTIONS FROM SOLICITATION# 36C24823Q0644

SURGICAL INSTRUMENT REPAIRS

1. As stated in the PWS, "Vendor must be able to service 10 surgical trays per on-site visit for the James A Haley VA main hospital". Will the vendor be allowed to service more than one day per week to complete services, if needed? No, all 10 trays will need to be serviced in one day

1. As stated in the PWS, "Vendor must be able to service 60 Dental Trays per on-site visit for the Primary Care Annex". Will the vendor be allowed to service more than one day per month to complete services, if needed? Yes, if needed this can be broken up into two visits per month of 30 trays each visit.

1. As stated in the Scope of Work, "Vendor must be able to provide repairs to rigid endoscopes". Will the vendor only be working on rigid scopes and not flexible scopes, or both? This will be for rigid scopes. The flexible endoscopes and semi-rigid endoscopes are not part of this contract.

1. Does the awarded vendor of the contract required to come in and do an on-site instrument inventory prior to commencing servicing? No

1. If required on-site inventory visits, will there be additional lines added to the price cost schedule for vendors to input their pricing for the inventory visits to the two facilities? This is not required.

1. As listed in the PWS, "Annual chamber cleaning of 11 steam autoclaves at James A Haley VA and Primary Care Annex". There is not any mentioning of the Make/Model of these steam autoclaves in the solicitation. Can you please provide the Make/Model and Serial Numbers for these 11 steam autoclaves? We have all Steris Amsco Sterilizers:

Steris Amsco 400 Series 20 X7 Steris Amsco 400 Series 60H X3 Steris Amsco 400 Series 16S X1 Serial numbers for sterilizers:

1. As listed in the PWS under the section for "Repair of Surgical Case Carts", the make/model of these 30 case carts is not listed. Can you please provide the make/model of these 30 case carts? We currently have Pedigo case carts, but that could change as we need new case carts depending on what case carts are available on government contracts and cost of replacing the case carts.

1. As listed in the PWS for Repair of Surgical Case Carts, are these 30 case carts for the James A Haley the total amount of carts needing servicing? Are there any case carts in inventory for the Primary Care Annex? There are no case carts at PCA, the repairs for the up to 30 case carts per year will be as needed when we have broken case carts.

1. As stated in the PWS under the section "Education and Training", what is the required number of in-service education visits for the vendor to provide to the sterile processing department staff? Once a year or as needed if trends are noticed.

1. Will the in-service education visits be needed with the staff over at the Primary Care Annex as well? No

1. As stated in the PWS and solicitation, the period of performance gives a beginning date of 7/1/2023. What is the estimated date of awarding with this contract to the selected vendor? Will the awarded vendor have enough time to setup their equipment and assign personnel to service the customers? Vendor must have truck set up on Jul 1, 2023 when the contract starts. There will be an inspection the first week of the contract. Per the customer, the vendor comes in on day one(1) ready to work.

1. Can you please provide model numbers for the rigid scopes, cameras and any other devices that are listed for repair. – All devices are attached to the solicitation in Contract Opportunities.

1. Attached is a list of Manufacturers and catalog numbers for our Rigid scopes and power equipment, however, this list is ever changing so repairs cannot be limited to this list.

1. Can you please provide the sizes of Autoclaves that need cleaned, small, medium or large etc. ?

Steris Amsco 400 Series 20 X7 Small Steris Amsco 400 Series 60H X3 Medium Steris Amsco 400 Series 16S X1 Small

1. Off-Site Category: The SOW requires the SDVOSB to have repair capability for serialized Surgical Devices such as Flexible Scopes, Rigid Scopes, Power Equipment, etc. Are you only asking for this capability or are you asking for these items to be priced in the off-site category? The offsite laboratory needs to have the capabilities to repair these items. The cost of the repairs will fall under the line item for off-site lab repairs. We do not need a list of how much each individual item will cost, that would be impossible as new instruments are constantly being purchased and old instruments are being excessed, so the list would be ever changing.

On aside, flexible endoscopes and semi-rigid telescope repairs will not be part of this contract. These were not included in the SOW.

1. If just the capability: The Offsite repairs will only include surgical instrument off-site repairs (Same as previous contract). Our current contract does include serialized surgical devices such as rigid scopes, power equipment etc…the repairs fall under the offsite laboratory repair line item and are invoiced based on level of repair.

1. If devices need to be priced: We'd then request an inventory of the make, model, and serial number of devices needing inclusion.

1. PCA Clinic Volume vs Days: We see that the volume is increasing from the current 30 trays serviced/day to 60 trays serviced/day. Quite a volume jump for 1 service day. Has the PCA CPS confirmed they can easily reprocess this volume in 1 day? Was it intended to move to 2 service days/month with this volume increase? The increase is due to the significant increase is dental trays over the past 3 years. They will be able to reprocess and sterilize this volume in one day.
