The following questions have been sent requesting clarification to the Automatic Door Maintenance and repair service request.
Is there a current list of inoperable doors or doors with current issues known to the facility?

What is the expected response-time for non-emergency service calls? With our other contracts this is typically 24 hours with a response required acknowledging the service call within 4 hours, but contractor to be on site within 24 hours.
Expected response time is typically EOB day of call and expected to be on site within 24 hours. This was also listed in the PWS portion of the solicitation with a response time within 4 hours of an emergency call. If time permits under certain circumstances, by EOB day will suffice.
Will the awarded contractor be required to provide an updated door inventory list to the COR prior to commencement of work on this contract? This is a typical requirement.
Yes. The contractors proposed schedule for accomplishing the inspections and preventive maintenance services shall be provided to the COR for approval 15 days after contract start date. Any changes to the approved schedule shall be requested in writing and approved by the COR in advance.
Are there logs that indicate a historical average number of non-emergency service calls/emergency service calls in order to formulate an approximate baseline for bidding purposes only. If so what are the historical averages?
Based on the last 6 months, the average is 1-2 calls per month for door repairs.
In regard to the handicap door push buttons, are the maintenance of those be a part of this requirement? Will the yearly battery changeouts be a part of this requirement with the PM services?
Handicap door pushbuttons are the responsibility of the contractor.
Will the contractor be responsible for access control or fire alarm integration/systems? Typically, these components are expressly excluded from door maintenance contracts as these systems are typically maintained by another contractor. These systems require an entirely different skillset and tools to maintain as well as access to the VA computer system. Typical door contracts do not require access to the VA computer system or access control system. We are very certain you are not seeking this to be part of this contract, however, want to obtain written clarification.
Access control and Fire alarm integration systems are maintained by our own staff or under separate contracts.
Will the contractor be responsible for the entire automatic door assembly, starting at the electrical transformer, to include applicable push buttons, sensors, controller, motors, as well as normal wear items? This is how it is typically worded in other SOW for door maintenance contracts. This statement of work is vague compared to many we have bid on/won.
All components tied directly to door operation aside from security access and Fire alarm integration is the responsibility of the contractor.
If it is mutually agreed and determined that a door is beyond feasible repair, how will this situation be handled? How will new replacement doors be treated as far as this contract goes?
The contractor will submit a quote for the repairs needed.
CLIN lines have been redone to accommodate the work requested in relation to billing/invoicing per Semi-annual Inspection and per job worked, based on repairs needed monthly or as breakdowns occur.
