Questions and Answers
Question: Is this a new requirement, or is there an incumbent contractor? If existing, can you provide me the contractor and award amount? Answer: This is a follow-on contract. This contract is public on FBO and can be found under purchase order number 36C24119P0181. The Contractor is American Surgical Instrument Repair LLC. The contract expired on 12/09/2019 and the aggregate award amount was $22,800.00 for one year. There were on option years on this contract.
Question: Appendix A lists types of instruments/devices to be maintained. Can the customer provide an inventory that shows manufacturer, model #, and quantity? My concern is that using general nomenclatures makes it difficult to assess maintenance costs. For example, if I said I have a "Car" to be maintained, a service provider would need to know make and model because the parts/labor cost vary widely between a Ferrari Enzo and a Ford Escort. Answer: See attached Can the customer provide a tray inventory that shows the type/name of tray and quantity?
Answer: See attached
Question: Will this contract cover Rigid and Flexible scopes? Answer: No Question: The Statement of Work is vague regarding the number of visits per month. Typically, some instruments are used more than others and require servicing more frequently. While all instruments are to be serviced once per year, which instruments is to be determined by the SPD.
The expectation is one visit per month minimum.
The statement of work says…” The contractor will determine frequency of scheduled maintenance service with the SPS Chief or designee based on the frequency of use. The estimated quantiles of work shall be determined by Contractor repair technician and SPS Chief or designee.”” It is not possible to determine a monthly service fee unless the number of days can be determined in advance. Please be more specific regarding the monthly requirements.
Answer: We are requiring at least 1 visit per month for preventative maintenance, lasting 1-2 day. We are also specifying in the contract that the frequency of scheduled maintenance for each instrument shall be adjusted from once per year based on frequency of use, as determined by the contractor repair technician and SPS Chief or Designee, as necessary.
NOTE: Please see the current attached inventory pulled from Censitrac. Note that this does not include our inventory in the basement which is where we pull from if new items are needed or if something is lost or broke. They will all need to be serviced as well. I don’t think that this would have a great impact on the cost of the bid though. As for the number of visits, one visit per month lasting 1-2 days is accurate, however if additional days are needed as determined by the technician, SPS Chief or designee such schedules would be adjusted and amendable. We are working to ensure enough inventory is on hand that should something break or need repair we will always have a backup.
