About this file

Jefferson County Public Schools (District) has issued a Request for Information (RFI) # 26950 for a Mass Communication System replacement project. The RFI seeks information from vendors about their capabilities and solutions across seven scope areas: Legal Requirements, Functional Requirements, Technical Requirements, Data Requirements, Information Security Requirements, Support & Training, and Pricing. Responses are due by March 11, 2025, and the district plans to use the collected information to develop a system acquisition plan and budget. The district has a diverse educational landscape including 83 elementary schools, six K-8 schools, 17 middle schools, 17 high schools, 12 option schools, 15 charter schools, an online school, a career or technical education school, and two outdoor laboratory schools.

The district's current operating budget for fiscal year 2024 is $150,000, with approximately 70,000 students, 14,000 employees, and 100,000 parents and guardians who may utilize the system. Vendors are asked to complete a Microsoft Excel attachment with five worksheets: Vendor Profile, Availability of Specifications, Scope Q&A, Potential Integrations, and Cost. The district requests a low and high-cost estimate for implementation, understanding that these costs are for planning purposes only and will not be binding. All communication should be done in writing via email, and responses should be submitted through BidNet. The district emphasizes that this RFI is not a contract solicitation and will not result in an immediate award.
