About this file
This is a Request for Quotation (RFQ) issued by the Greece Central School District in Rochester, New York, seeking a service maintenance agreement for science equipment. The RFQ #25-004 aims to contract for maintenance and repair of electronic balances and compound light microscopes across seven district schools, with an estimated quantity of 175 balances and 547 microscopes. The contract will run from July 1, 2025, through June 30, 2026, with options to extend for two additional one-year periods. Vendors must submit quotes by May 13, 2025, and are required to perform annual preventative maintenance, including inspections, cleaning, calibration, and repairs for the scientific equipment.
The pricing structure requires vendors to provide a total annual RFQ price, with unit pricing for balances and microscopes, and specify hourly labor rates for repairs beyond the standard maintenance agreement. The contract includes provisions for time and material costs, with a one-hour minimum labor charge and pricing based on manufacturer's list price less a negotiated discount percentage. Vendors must also provide comprehensive insurance coverage, including commercial general liability with $1,000,000 per occurrence limits and workers' compensation. The district reserves the right to add or delete approximately 5% of the equipment annually and requires detailed service reporting, including proof of service forms and monthly summary reports documenting all maintenance and repair activities.
