This contract bid will also detail cataloging and processing specifications and services required for all ordered materials. The terms of this contract are limited to a one-year period with an option to renew for two additional years. All bids must be made on the basis of, and either meet or exceed, the requirements contained herein.

AARL is a special library of the Fulton County Library System, housing non-circulating resources and archival collections focused on the global socio-political histories, culture and art of Africa and the Black Diaspora. During the terms of this bid, AARL will significantly increase the volume of materials relevant to subject specific classical and popular fiction, young adult literature and illustrated children’s literature.

In reviewing AARL’s collection development patterns, the library will annually add between 2,500 to 3,000 (only an estimate subject to change due to annual budget allocations) multiple or single copies of titles published in the United States, the Caribbean, South America, Canada, Europe and the African continent. Respondent(s) must have in-stock inventory sufficient to meet the subject specific collection development needs of AARL on the entire range of subjects detailed in the section on Inventory Requirements. Respondent(s) will ship ordered with materials in conjunction with the online delivery and uploading of corresponding digital bibliographic data, providing comprehensive cataloging and metadata services (detailed further in the bid). All orders and related digital bibliographic data/records will be received with a ninety-nine percent (99%) accuracy rate. Vendor shall supply the latest edition of a title unless an earlier edition is specified, and no substitutions shall be made without prior written authorization by designated Library staff. All book-binding for titles shall be of the quality commercially sold by the publisher for specific use by public libraries.

Respondent(s) will ship all ordered with materials with defined custom cataloging and processing services (detailed further in the bid) with a ninety-nine percent (99%) accuracy rate.

Section 4 Auburn Avenue Research Library Scope of Work and Technical Specifications

In reviewing AARL’s collection development purchasing patterns, the library will annually add 2,000 to 2,500. The Library’s average allocated budget range is $40,000.00 to $50,000.00 with 85% of collection development funding dedicated exclusively to the procurement of print resources and related cataloging and processing expenses.
