1. Can the contractor lock in Three Services (Only) to be provided as a menu of services, or will we be expected to change services as needed to meet the treatment plan?

*The contractor will be obligated to provide Massage Therapy Services for the Chronic Pain Treatment Program – to include multiple diagnosis.

2. I understand the TREATMENT PROGRAM is what the Contractor recommends as a massage professional, and that tx program must meet the expectation and requirements of the TREATMENT PLAN. Is that correct?

*Yes – The treatment plan is an Interdisciplinary Team Process established with the Provider

3. Will the clinic provide training on the systems they want the contractor to use for recording evaluations and designing treatment program or will the contractor be expected to utilize their own recording/evaluation systems?

*Yes- The clinic will provide the training on the in-house established programs ( i.e. EMR)

4. Electronic Health Record (EHR) – will the contracted staff be trained on this system?*yes

• Will contractor have their own log in for the system? *yes

• Is this a system the contractor must pay to access? *no

• Will contractor be using computers at the clinic or bring their own for documenting in the EHR?* computers are clinic/ government owned and provided in house

5. Patient Visits – is this considered the evaluation, initial meeting and/or consultation? *yes

• Does this refer to consultations AND therapy performed? *yes

6. How often will contractor be expected to visit with patients within the 8 hour day? *prior to every treatment session

7. Will the contractor be expected to review orthopedic exams, neurological exams, range of motion exams, muscle strength testing diagnostic imaging procedures including MRI, CT, x-ray, and ultrasounds with the patient or will this be a supervised conversation? *yes- contractor will have access to all medical information in the patient record -EHR

8. How many departments will the contractor be in communication with?

• Listed were patients primary care provider, and IRT, physical therapy, or chiropractor.

*The department of clinical services are all located in one clinical area of interdisciplinary intervention –PT Department

9. When will the meetings on patient treatment plans occur to fully coordinate and integrate?

*weekly in-house on a regular schedule coordinated by the unit Case Manager

10. Resource and Patient Management System (RPMS) and EHR:

• Will there be trainings on these systems? *yes

• To whom will contractor report should they have system issues? *Department Manager

:with instructions / interventions indicated for resolution

• Are there specific logins or codes for the contractor? *yes- each individual has confidential individual log –in passwords

11. How many HIPPA trainings are needed? *all trainings are completed during the orientation process

• How are they to be accessed? *via on-line government assigned programs

12. Who is the Government Designee on this project? *depending on the level of responsibility – CSU in-house / OKC Area office

• Are they local?

• Do they reside at the facility?

13. Please confirm the specific licensure, credentialing and privileging of staff who provide services.

*all staff are have licensure / credentialing in accordance with State Laws/ Joint Commission Accreditation

14. How will the physical therapy supervisor or designee prefer to communicate with the contractor? *Communication will be varied depending on the circumstance i.e. EHR , Notifications, E-mail, Department meetings, postings, face-face, etc.

15. Will dates and times for the clinic vary? * No – very little variations – clinic hours are scheduled according to set department hours/ government dates of services /etc.

16. This contract includes Clinton, Watonga and El Reno clinics – will the schedules be fixed weekly or will this be a floating schedule? * presently schedule is set @ the Clinton clinic – with expansion of services it will be an opportunity to be at our satellite clinics

17. How far in advance will the clinic team notify contractor of needed scheduled? *schedule is set weekly for the year

18. What is the average session time for sessions recommended? Is there a range recommended or will this be at the expertise of the contractor creating the TREATMENT PROGRAM? *established treatment time is currently 40 min sessions of treatment time

19. What is the CSU dress code policy?

• Do they prefer contractors wear a specific color?* no

• Do they prefer scrubs? *yes – professional solid scrubs

20. What are some of the “special assignments” that may be requested? *participation with clinic PDSA (Plan Do Study Act) Improvement processes, Preparation for Joint Commission Accreditation, etc.

Special Terms and Conditions

1. Can contractor provide more than one therapist to perform tasks throughout the week?

*scheduling may be more than one massage therapist- preferably a set schedule for patient care and planning

2. Does the massage therapist on duty during the 8 hour day have to work the full 8 hours or can this be split between different therapists? *preferably one therapist for the full day shift- if necessary on occasions ½ day scheduling can be accommodated

3. Does the contract prefer ONE massage therapist or can contractor have support of other massage therapists for scheduling purposes? * Contractor is required to have enough massage therapist to cover scheduling ( i.e. individuals may need SL, AL , emergency time off, etc. )

4. Has this contract been awarded in the past? * yes

5. Who determines the time needed to conduct the study, assessment of the results, and production of written report detailing the findings and any recommendations for improvement?

• Will the contractor be allowed to work collaboratively with the on site government official or supervisor to ensure scheduling is considerate of time needed for reports?

*contractors on site responsibilities are documentation of patient treatment completed- this time is built into the daily schedule outside of treatment time

Level of Effort

1. Is there a list of quality requirements or a checklist that can be provided to ensure expectations are met? *yes--- the contractor has a government established contractor check list evaluation annually

Special Requirements

1. initial background check and fingerprint clearance

• Is this for the contractor only? *this is for all staff involved in patient care

• Will each provider need to complete the same screening? *yes this is for all staff involved in patient care

• How are background and fingerprint clearance conducted? *in accordance with the hiring HR process of government employment

• Does the clinic administer and/or cover the cost, or will contractor be expected to pay and complete through an outside vendor? *all requirements of employment competed in-house are covered under the contract hourly rate

• How often will the contract require background and fingerprint clearance? *in accordance to the IHS government process –----
