Purpose/Background We are currently using a Gasboy Series 1000 Fleet Key Fuel Management System along with the GasBoyKE200 Key Encoder to make fuel keys as our management software for our fuel station. We have a two station three pump Gasboy system with two pumps handling gas and one pump using diesel (pumps are not digital). We have two underground tanks. We are looking for a system that will utilize the current key system and have wireless availability. The management system is located on a cement island adjacent to the pumps and interfaces with a normal PC. It is currently hard wired to a building that houses the PC. We are looking to upgrade the management system and continue to use the current pumps. We are looking to go to a system that will interface with the current pumps and infrastructure available.

Specifications/requirements for a new fleet management system for fuel station.

The new system will have to utilize the current island (approximately 4X2 area) and be bolted to the cement. The height of the console should have the main screen between 5’ and 6’ in height. Along with meeting the requirements above, it must meet at a minimum the below specifications.

· System must be able to interface with a minimum of three pumps.

· System must interface with system LAN (serial or Ethernet) or be wireless and be able to connect to a standard PC.

· System must produce management reports having several selectable/sorting capabilities (i.e. must be able to customize reports and provide canned reports). Reports must contain at a minimum vehicle ID, date/time, type of fuel pumped, price, odometer reading and quantity. Software should be able to get upgraded to enable a GSP type tracking software to be interfaced. Report formats require ability to be saved for future use. Reports should be viewable and have ability to be saved in Adobe version 10 or Microsoft Word 10 format. The PC operating the software must use Microsoft Win 7 or above.

· System must have ability to set restrictions on who/when/what fuel can be pumped.

· System must have security to restrict unauthorized use. The system also must be able to distinguish what type of fuel is required and other basic restrictions (type of fuel, amount of fuel etc.)

· System must include standard service support availability including annual maintenance and on call service within two working days.

· System must come with a manufacture’s warrantee.

· System must have ability to grow with company both in number and type of pumps used, number of tanks pumping from to upgrading the software to allow wireless and/or GPS software to be used.

· Installation of current system shall be included. If vendor desires the old system, vendor shall include a deduct price for the system. Installation will be on a current concrete slab (4X2) and secures properly.

· System must be protected from lightning sticks (proper grounding) and be capable of backups to capture lost data if required.

· System must have secure remote capabilities for monitoring and management. System should allow for remote desktop capabilities.

· Proper training on the new system must be included for both for operators and administration. Manuals shall be provided on Installation (schematic), operations and administration.
