About this file

This is an Addendum No. 1 for a Furniture Request for Bids issued by the Pueblo City-County Library District for the Lucero Branch Library, dated February 24, 2025. The project involves furnishing various furniture items from multiple manufacturers including 3Branch, Arcadia, Bernhardt Design, Encore, Enwork, Haba by Gressco, JSI, KI, Lakeshore Learning, Leland International, Media Technologies, MooreCo, National Office Furniture, Nevins, OFS, SitOnIt Seating, and Spec Furniture. The bid documents specify furniture for different library areas, including activity panels, tables, chairs, storage cabinets, lounge chairs, and power-enabled furniture. The proposal submission deadline is March 6, 2025, at 3:00 pm MT, with a planned notice of award and purchase order to be issued on April 3, 2025, and an installation target date during the week of August 25, 2025.

The addendum provides clarifications on various aspects of the bid, including fabric approvals, installation specifications, and substitution conditions. The owner reserves the right to accept or reject any proposals and may selectively award contracts to multiple contractors based on manufacturers. The pricing form requires vendors to provide total prices for delivered and installed items, including unit prices and potential add/deduct amounts for substitutions. The owner emphasizes maintaining the design intent while being open to alternatives that may save money. The project has specific requirements for fabric application, pattern matching, and laminate finishes, with a focus on keeping the original design specifications intact while allowing for potential cost-saving modifications.

Answer: We have submitted all fabrics and believe they have all been approved by the manufacturers.

2. Did your firm write the furniture specifications?

Answer: Yes, our firm wrote the specifications.

3. Will this be awarded "All or none by manufacturer"?

Answer: It is the intent to award all of one manufacturer to one vendor.

4. Please clarify, regarding COM's with vertical and horizontal patterns:

a. Do you want the fabric applied "off the roll"or "railroaded"

Answer: All fabrics to be applied “off the roll” Do you want random matched patterns or pattern matched?

Answer: All patterns to be Pattern Matched.

5. Do you have an approximate order date for this opportunity?

Answer: We are anticipating the owner to issue purchase orders to the awarded vendors around April 3rd.

6. For the laminate finishes - if a piece is being substituted would you accept a close finish or do the laminate colors need to be as specified?

Answer: It depends on what piece it is; some things are a particular finish that matches other finishes in the building. If submitting a substitution, please indicate if an alternate laminate is being priced and what laminate color is being suggested. We will take that into consideration when evaluating the substitution.

7. T13P - would it be acceptable for this table to have a laminate top?

Answer: No, the top needs to be butcherblock as specified.

8. How are proposals being evaluated? Is it based more on price or design?

• Answer: Our first priority is to keep the design intent as specified, however if there are alternates that save the owner money and have a similar look, we are open to alternates.

9. Encore is considered part of Arcadia. If Encore is ordered separately there is a minimum order freight charge of $160.00. Please note to award Encore and Arcadia together.

Answer: Arcadia and Encore will be awarded to the same vendor.
