About this file
This amendment to a Simplified Request for Bid is issued by the University of Wisconsin-Madison Purchasing Services for the procurement of Fiber Optic Bundles for CXI under Bid Number 20-3164. The original bid was issued on July 1, 2019, with a due date of July 3, 2019, at 2:00 PM CDT. Amendment #1 was issued to address questions submitted by bidders and clarify technical specifications. The procurement agent is Jeff Whitman. The amendment provides detailed responses to bidder inquiries regarding CAD drawings, environmental specifications, fiber characteristics, and assembly requirements. Key technical specifications include End B details available in attached CAD files (Tray.dwg, Fiber_tray_front.jpeg, and GA-152_fiber_tray.pdf), and End A specifications requiring an aluminum or stainless steel tube ferrule with square cross-section, 2 inches in length, 3.1mm exterior width, and 0.5mm wall thickness. The University currently uses high-OH fused silica core with polymer cladding fiber.
Bid prices and terms shall remain firm for sixty days from the date of bid opening. The amendment clarifies that the anti-reflective (AR) coating requirement may be relaxed to allow bidders to propose alternatives with higher transmission percentages (estimated at 80-82% at 529nm without AR coating). Bidders are required to certify non-collusion, fair competition, and compliance with debarment regulations. All bidders must acknowledge that the original UW-Madison Purchasing Services bid document on file shall serve as the controlling document for any resulting contract. The amendment must be returned with the revised bid submission; failure to return it will result in the assumption that the original bid meets all amendment conditions.

AMENDMENT #1
QUESTIONS AND ANSWERS FOR 20-3164
(FIBEROPTIC BUNDLES FOR CXI)
Q1: Can you provide CAD drawings or models of the End A and B parts and the tray so we can better understand the mechanical requirements? Or pictures of an existing assembly?
A1: End B details can be found in the attached CAD Tray.dwg file. Also Fiber_tray_front.jpeg and GA-152_fiber_tray.pdf are attached. End A details are specified in "Attachment B": The ferrule should be an aluminum or stainless steel tube with square cross-section. The length of the tube should be 2". The exterior width of the tube should be 3.1mm, and the wall thickness should be 0.5mm. We do not have CAD drawings or images for this part, only the image provided in the Word document with the specifications ("Attachment B").
Q2: Do you have environmental specifications for this? (temperature, humidity, etc.)
A2: Refer to Answer #1.
Q3: What is meant by “The end of the 4x12 grid is sloped.”?
A3: Refer to Answer #1.
Q4: We cannot guarantee performance in a “moderate neutron/gamma environment”. We can offer an exact fiber type for you to approve based on your experience.
A4: We currently use high-OH fused silica core and polymer cladding.
Q5: It would be difficult to AR coat the ends of the fibers due to the large size of the assembly. Is this a strict requirement? We estimate the transmission without AR coating will be 80-82% at 529nm, including losses in the fiber and losses at both faces. This does not include packing fraction losses.
A5: I would be OK relaxing the AR coating requirement as long as we have the freedom to select a proposal that comes in with higher % transmission by using such a coating, even if it costs extra.
