About this file

This is a delivery schedule memorandum from the Federal Bureau of Prisons Federal Correctional Complex Coleman, Florida, dated August 5, 2025, outlining specific delivery requirements for vendors who have successfully bid on the first quarter procurement. The memo establishes four distinct delivery schedule options that vendors must adhere to for the October 1 - December 31, 2025 period: Schedule #1 requires all items in one shipment delivered October 1-15, 2025; Schedule #2 splits orders into two equal shipments delivered October 1-15 and November 1-15, 2025; Schedule #3 divides orders into three equal shipments delivered October 1-15, November 1-15, and December 2-16, 2025; and Schedule #4 requires 13 weekly shipments every Monday-Tuesday from October 1 through December 31, 2025.

The memorandum specifies critical operational requirements including delivery hours of 7:30 AM to 2:30 PM Monday through Friday (7:30 AM to 12:00 PM for Schedule #4), with no deliveries on weekends or federal holidays (Columbus Day, Veterans Day, Thanksgiving, and Christmas). All deliveries must be palletized and wrapped, with temperature requirements of 34-40°F for perishable foods and 0°F or below for frozen items. The facility reserves the right to adjust quantities with one week notice, and all deliveries are subject to a three-day conditional acceptance period for inspection and testing. Performance issues including early, late, or non-compliant deliveries will be documented and may result in rejection, re-award to alternate bidders, and consideration in future award decisions. Vendors must contact the Food Service Warehouse at specified phone numbers with questions and submit invoices via mail or email only.
