Text version

1. For the plenary session, do you require a stage to be set for speakers?

· Given the number of attendees, it would be good to have the option of a basic, raised platform/stage, so that attendees can better see the speaker. The stage would require no decor.

2. Other than a podium, will you have additional speakers?

· It’s possible that we will have a panel discussion during one of the plenary sessions, so we would like the option to have a table and 4 chairs or simply 4 chairs in addition to the podium. Added as option.

3. If so, how many and will they require hand-held or lavalier microphones?

· Most of our folks seem to prefer hand-held microphones. Two hand-held microphones should be sufficient for the panel, but it would be good to give the plenary speaker the option of a lavalier in addition to the podium microphone.

4. Will you require seating on stage? How would you like the stage set?

· The only seating required would be for a potential panel discussion. It is acceptable to set a table with 4 chairs on the stage and leave it up each day of the event.

5. For the plenary session, how many screens would you require? One on each side of the stage?

One over the stage?

· One on each side of the stage

4. Will you need microphones in the audience for Questions?

· Yes, we will need microphones for audience questions – 3 seems sufficient.

5. Will you require any videography?

· No

6. Will you be hosting a video link for people outside the meeting to support a Hybrid event?

· We usually provide this option. Added request for optional pricing.

7. Will you require any laptop computers in the meeting rooms for presentations?

· We expect all employees to bring their own laptops so no need to have vendor provided laptops. We likewise expect that any presentations will use an NPS computer to connect to a projector or if allowable

8. Will you require slide advancer's or laser pointers in any spaces?

· Slide advancers in all spaces. A few laser pointers would be good, but every presenter in each room may not need one.

9. You state that each room must have internet connections.

10. How many internet connections will be required in each meeting room?

· Each room needs an internet connection for the presenter and any video link without outside presenters. Wifi should be available for attendees.

11. Will participants in training be required to log in to their own laptops?

· On the AO side, we don’t anticipate doing the type of training that requires attendees to log into a training environment on their laptop for systems training.

12. You mention Accessibility Options, will you require speech to text software to accommodate the hearing impaired?

· Please provide optional pricing for Accessibility options for speech to text software to accommodate the hearing impaired. Added price schedule to account for options.

13. In addition, in section 4, you mention event planning and coordination services to assist with the organization and execution of events. [Redacted Company branding] Mobile Apps can clearly coordinate and communicate the event details to all attendees. Would you like to have pricing included for these options?

· Not required - not all mobile apps are approved for use on gov’t devices.
