Ques on 1: Can the plenary room be used as one of the three breakout rooms?
Answer 1: Yes, but only if the plenary room can be transformed to accommodate smaller breakout groups and smaller discussions with sea ng in a U‐shape or classroom style.
Ques on 2: Internet per room: Do you want internet for the presenter or internet for all a endees for the dura on of the conference?
Answer 2: All
Ques on 3: How many virtual a endees are you an cipa ng and how will their par cipa on look like?
There is no video recording of the sessions. Are virtual par cipants just following the presenta ons via Teams and do not par cipate in the sessions?
Answer 3: We expect limited virtual par cipa on. Virtual par cipants will be a ending Teams. We have provided audio requirements and requested a projector for the rooms to accommodate limited virtual par cipa on.
Ques on 4: Host Laptop: Is that a laptop brought in by the host or do you want the contractor to provide a laptop?
Answer 4: Government shall provide their own laptop.
Ques on 5: Breakout rooms: It states they should hold 100 people. Sea ng is listed for 76 people. Are some par cipants standing or should we add addi onal chairs?

Ques on 6: Would theater style sea ng be acceptable for the plenary session?
Answer 6: Yes
Ques on 7: What is happening in each of your room program wise? Panel Discussions? Hybrid presenta ons
Answer 7: Plenary room—panel presenta ons to the en re 250‐300 a endees. Breakout rooms—A room layout that would allow for produc ve mee ngs for a group of 50‐100 (u‐shape, banquet, rounds, etc). Per the SOW, as we requested 1 HDMI and sound run to host laptop and digital or projector screen, which we could use to show a Teams mee ng if needed.
Ques on 8: Will there be mul ple presenta ons / mul ple laptops?
Answer 8: There will be mul ple presenta ons that will be shown from a single Government laptop.
Ques on 9: Besides a podium mic ‐ what other mics are needed in the room? A Wireless Lapel mic?
Table mics? Q&A mics?

Answer 10: No
Ques on 11: Will you be u lizing your move‐in day?
Answer 11: Yes.
Ques on 12: Would you like to do any tech rehearsals a er 4 PM on your move‐in day?
Answer 12: We need to confirm the setup. Don’t an cipate needing it a er 4 PM.
Ques on 13: Good exploratory ques on here is to ask how many speakers are you asking for the plenary, will you be having a panel discussion where more than (1) addi onal floor mic that will be needed? Do they move around a lot when they talk?
