About this file
This document contains clarifying questions and responses regarding solicitation number 1240LN23Q0063 for the Lewis and Clark Interpretive Center Theater Upgrade. The solicitation is seeking proposals to upgrade the existing theater space including replacing the projection and audio/visual equipment with a new system capable of automatic playback of three provided video files on a fixed rear projection screen measuring 9' high x 12' wide. The new system must allow for surround sound capability and adjustable scheduling of presentations. Cameras are required for virtual presentations and the lighting system interface is currently Leviton but involves complex controls requiring an on-site review. Open captions and portable hearing assist devices are available but audio description files should be included. A site visit is highly recommended to fully understand the physical space and existing equipment configuration.

Helena-Lewis & Clark National Forest
Submitted Clarifying Questions as of July 19, 2023
1. Is a user adjustable time schedule (for the movie presentations) part of this requirement? (This is so that the movie can automatically play at scheduled intervals.)
Yes.
2. Is a camera required as part of the (virtual presentations) portion of the RFQ? Or will the customer provide a laptop input with a camera as part of the presentation?
Cameras are required for the virtual presentations.
3. Can pictures be provided of the existing space and equipment please?
Pictures are attached below but we highly encourage a visit to the Interpretive Center to get a good understanding of the physical layout of the room and requirements.
4. Is the projection screen to be a fixed screen? What size should the screen be? Should the screen be acoustical so that speakers can be located behind?
The current screen is a fixed, rear projection screen measuring 9’ high x 12’ wide. There are currently no speakers behind the screen. The government is requesting the industry standard for the best acoustical resonation given the space customers will occupy and the physical layout of the room.
5. Is the media encoded as surround audio?
The current media we screen daily does not; however the government would like the capability since the facility is frequently rented to customers who bring in media recorded with such.
6. Is 5.1 surround audio required? (Speakers and amplifiers) It is not required, however, submit the best solution consistent with industry standards.
7. What is the current lighting interface? (Is it contact closure controlled?) Are pictures available?
Leviton is the current lighting interface. Pictures are attached below, but again, the lighting system is truly something better experienced when visiting the facility. It is anything but simple and so we highly encourage a tour of the facility before submitting a quote.
8. How many video files will be provided to be played?
Three
9. Are there audio description files for ADA compliance? If not, should the creation of AD files be included as part of this RFQ?
Yes, each video has open captions.
10. Are there hearing assist and audio description transmitter and receivers for ADA compliance?
We have portable hearing assist devices available at the front desk for the asking.
