About this file
This is a Request for Proposals (RFP) issued by Austin Independent School District (AISD) for district-wide secure document shredding, purge, and transition services. AISD seeks to procure services for the regular servicing of approximately 2,400 secure consoles across 130 facilities, with a seamless hardware transition from the current provider required. All destruction must meet CJIS and District privacy standards, and 100% of shredded material must be recycled to support sustainability goals. The RFP (26RFP047) was publicly advertised on March 6 and March 13, 2026, with questions due by March 23, 2026, at 5:00 PM CST. The proposal due date is April 7, 2026, at 2:00 PM CST, with a virtual bid opening scheduled for the same date at 2:15 PM via Google Meet. The initial contract term runs through June 30, 2027, with four optional one-year renewal periods available. The district anticipates a board meeting for review and approval on May 21, 2026.
This is a negotiated procurement where award will not necessarily be made to the lowest-priced proposer. The evaluation process consists of Phase 1 scoring based on operational continuity and transition strategy (20 points), organizational qualifications and security (20 points), product accountability and sustainability (20 points), and financial proposal (40 points). Phase 2 may include clarifications and best and final offers at the district's discretion. Proposers must demonstrate NAID AAA Certification for mobile and plant-based destruction, minimum five years of experience with entities managing 100+ facilities, and the ability to deploy 2,400 consoles within a 90-day transition window without subcontracting primary services. Required submissions include a completed Vendor Questionnaire, CJIS Privacy & Security Addendum, NAID certifications, hardware specifications with photographs, sample monthly service logs in Excel format, recycling endpoint letter identifying the specific licensed paper mill, and pricing via the Bonfire Bid Table. All pricing must remain firm for the initial contract term, with any future price adjustments limited to 5% per renewal period and subject to written approval. Contractors must carry General Liability insurance of $1,000,000 per occurrence and $2,000,000 aggregate, along with Workers' Compensation coverage and other specified insurance requirements.

I. INTRODUCTION
Austin Independent School District (“AISD”) is seeking proposals for District-wide secure document shredding and purge services.
