Question Answer Hello and our apology if we missed this information. Please confirm your preferred Operating System on each of the 4 builds included in this RFP. Thank you!
The district will provide the current District image which is currently Windows 11 education. Operating System Version.
High-end laptop (100 estimated per year) – Is this model to be supported by a GPU? If so please give specs/details on the type of GPU the district in wanting.
The graphics card should be equivalent to or exceed Nvidia GeForce RTX 4060 8GB graphics.
Could you better define the processor types you are requesting please?
For example, there are multiple versions of the i5 processor that span multiple years. Choosing the right one is an important decision for the district. Frequently a vendor may present an older processor simply to reduce price on a response, but that processor may not be as performant as the most recent one. Thank you!
The processor should be the current production model. The district will evaluate speed, cache and graphics and choose the best fit for the district needs. The district will take into account presented age and specification of the processor and score accordingly.
Is the district expecting Web Content Filtering and Classroom Management software to be included on each device within this response?
Web content filtering and classroom management are not required as part of the bid.
What does "next-class period" mean on page 4? Class duration on average are 50 minutes. There should be ample devices located on site that a device can be exchanged for working device to use during the next class period.
We do not see OS spelled out in specs, can you please confirm windows 11 education, pro home?
Also, we see Chromebooks listed in page 5 but don’t see any models requesting chrome OS - please advise?
Windows 11 for education. The mention of Chromebook is for reference of optional break fix for district owned devices. All devices under DaaS will be windows devices.
Section 1.7.1 Project planning states “Maintain sufficient inventory to achieve next class period SLA”.
Does the device count include this sufficient inventory “hot swaps” (i.e., 50,000 student laptops)?
No, this is the number of devices that will be in daily use.
What is the expected payment frequency?
Per Section 1.7, Deployment should start by June 1 and be completed prior to August 1st of the same year – when is the expected first payment date?
For the end of term refresh of devices, what is the expected return date / window?
What are the requirements for data destruction for end of term devices?
For products, HCPS makes payments as we order and receive invoice. For services, vendors bill us on monthly basis.
That should be governed by the term submitted. Ideally all work will be completed in the summer months leading into the first part of school year. All data must be destroyed per industry standard.
Can you please elaborate on what HCPS defines as the "HCPS Management Platform"?

What devices are classified as “static/non-network device”? How many of these devices are in the current environment? How often do these devices need to be inventoried?
An example could be computer carts, document cameras.
Will the selected DaaS vendor be responsible for hardware incidents only or will tickets include software installation and software configuration issues as well?
Hardware instance only.
Will all service request and incident tickets come through HCPS FreshService ITSM electronically to the selected vendor`s ITSM system?
Will the selected vendor be expected to provide a service desk, end-user facing web site, and accept emails or toll-free calls as part of the service?
Tickets should flow from our system to awardee's. All communications will come from HCPS technical staff.
Did HCPS purchase accidental damage warranty on any of the existing devices? Would that coverage carry over if the optional break fix service is awarded to the Contractor?
This will be a mix. Awardee should be able to facilitate both instances along with warranty.
Does the requirement 1.7.5 include the reset user passwords or does it refer specifically to administrative passwords?
We require the ability to change or reset bios passwords without further costs to the district.

Should the cost field for items 1-4 in the Pricing Sheet include the price of the hardware and all related services for the 4-year life of the device?
What unit of time should the cost represent (i.e. total cost for 4 years, annual, monthly?)
Price should be inclusive of all required services paid annually on a 4-year term.
Can HCPS elaborate on the information requested in Item 6 on the price form?
We are looking for pricing to repair services for district owned devices that may be in and out of warranty. The repairs would be handled in same fashion as devices under DaaS.
Will HCPS be procuring accessories such as monitors, mice, keyboards and docking stations through this contract? Should that be included in the device cost in the pricing sheet?
It is not a requirement.
Can the vendor add rows to the Price Sheet to include optional services that add value for HCPS?
Yes or separate tab.
Can you provide a list of non-DaaS devices including quantity of them that will need configuration services including model and specs?
No, there are approximately 250K units with 150K units mostly Lenovo 300w, 500w devices and 15K Microsoft surface go. This list will continue to shrink as devices are removed from the system.
Can you please clarify if convertible form factor is required OR if clamshell touch would be accepted? Thank you.
Convertible. All screens must be touch.
Does HCPS want to retain ownership of the systems and accessories at the end of the contract?
If not, will the awarded vendor be responsible for removal and return of the units?
We want a buy out with the option to sell back and apply credit towards next term. Vendor will be responsible for removal and return of the units.
Will the district include 16 inch screen size in the 17 inch screen size category?
Yes, 16- or 17-inches screen size will be considered.
Specification are minimums that must be met or exceeded.
What manufacturer and models are you anticipating we are required to repair in or out of warranty? This includes Apple iPads and Microsoft Surface devices. Would this include Apple iPads and Microsoft Surface devices.
Primarily Lenovo laptops in the 300w and 500w lines with much smaller quantities of l14/15 and p1.
Will site-based device deployment services apply to all orders or specific amounts?
All orders.
Specs call for all required cables, but video cables are shipped by default with monitors. Can the district confirm if they are needing 3x cables per desktop shipped? Or is the statement asking that all available video ports be compatible with the available ports on the monitors provided?
They will have duplicates when buying monitors if we ship desktops with cables - "must support all ports active with the required cables" Is ADP expected across all PC categories requested?
All ports must be active and supported by application. If there is a requirement for a special dongle or connector such a mini display port or hdmi then it would need to be included.
Section 1.7.1 states, “Maintain sufficient inventory to achieve next class period SLA.” Could you clarify whether this requirement necessitates the vendor to procure additional units specifically for each building to facilitate device swaps between class periods? Alternatively, will the devices acquired through this RFP include a sufficient surplus to stock each building adequately for this purpose?
This will be dependent on the bidder's experience and ability to repair and return devices.
Will HCPS require demos/samples of the devices with the RFP submission?
Yes, any model that is different from our existing one will be required to validate drivers and images.
For the General Desktop, is HCPS seeking a specific form factor? For example, sff v mini tower.
Mini or Tiny is the preferred.
For touch screens on the Student Laptop, General Laptop and High-End Laptop, is HCPS seeking a specific form factor?
Convertible. All screens must be touched.
Do repaired devices need to be returned to their original location after repairs?
Yes.
