5.2.6 Provide SQL data migration from current systems

PrimeroEdge recommends that the state agency maintain the database of the legacy system to comply with records retention requirements. If ADE proceeds, the migration process begins with ADE sharing the legacy database schema and definitions, allowing for an assessment of the data structure. Key steps in the migration process include:

1. Data Identification – ADE identifies the specific legacy data that needs to be migrated.

2. Data Mapping – PrimeroEdge will provide a comprehensive list of data mapping documents to guide the state agency in creating the required data import files.

3. File Preparation – The state agency will generate import files based on PrimeroEdge’s predefined formats, ensuring seamless historical data import.

RFP No. BPM006737 Attachment I Questionnaire Page 19

4. Data Field Alignment – Given that legacy systems and PrimeroEdge may not share identical database fields (e.g., system-calculated display fields vs. direct data entry or WBSCM imports), a data validation and reconciliation process will need to be conducted by ADE.

If data migration is required, a separate fee has been included in the implementation costs to cover the necessary analysis, transformation, and validation efforts.

5.2.7 Ability to import and export data via an XML format

The software provides the ability to import and export data via XML, CSV, XLS, XLSX and TXT as required. The following is a list of examples:

1. For the Department of Defense Fresh Fruit and Vegetable Program (DoD Fresh), the software provides the ability to export DoD Commitment data from the software to directly import into FFAVORS. PrimeroEdge is built on the .NET Framework with an N-Tier Architecture that exposes and utilizes web services. It runs on Windows Server and hosted on IIS utilizing .NET Framework.

PrimeroEdge uses SQL Server as its database management system and SQL Server Reporting Services for its reporting needs. PrimeroEdge is built upon a flexible architecture that can scale from the smallest to the largest of districts and states, utilizing .NET technology with smart clients, XML and Web Services. It uses SQL Server to provide cost-effective and reliable data management.

The proposed PrimeroEdge solution is designed from the initial architecture and design phases to scale and perform well in very large implementations because it was developed to be a SaaS solution for districts and state agencies. The solution is equipped to manage thousands of active sites from one set of servers.

PrimeroEdge is designed to scale and perform well in large implementations but also to be highly secure. Our company recognizes the importance of choosing the appropriate architecture to service the needs of our customers. This is why we chose a non-distributed architecture where the presentation, business and data access layers are separate logical layers even though they are physically located on the same Web/Application Server.
