Vendors must provide transparent, fixed hourly pricing by consultant level (Junior, Mid-Level, Senior) for the initial one-year term, with annual adjustments not to exceed three percent.
The resulting agreement is a three-year time and materials contract with options to extend for two successive one-year periods for a potential total term of five years. Roswell Park does not guarantee minimum work volume. No compensated onboarding hours or retainer-based hours are provided. Vendors may utilize offshore or nearshore resources if clearly disclosed and approved, with all data remaining within approved locations subject to New York SHIELD Act compliance. There is no incumbent service provider.
Evaluation is weighted 40% Financials, 40% Qualifications and Experience, and 20% Ability to Meet Roswell Park's Needs. Proposals must include three Workday US engagement references, Non-Collusion Affidavit, Disclosure Form, EEO Policy Statement and Staffing Plan, certificates of insurance, W-9, and signed Executive Order 16 Certification. Final award is contingent upon both parties reaching agreement on terms and conditions, including execution of a Business Associate Agreement compliant with HIPAA and the HITECH Act.
