Request for Quote Summary

This Request for Quote document is issued by the Tennessee Department of Tourist Development for fabrication, delivery, and installation of signage at Bill Dance Signature Lake within Herb Parsons Refuge in Collierville, Tennessee. The project encompasses seven signage items: one 96-inch by 73-inch monument sign with aluminum panels and stacked-stone base, one 12-inch by 18-inch directional sign, one 96-inch by 106-inch kiosk sign with aluminum composite material panels and aluminum roof, three 30-inch by 96-inch banner signs, and three photography signs (selfie, frame, and cut-out) to be supplied without installation. All signage must comply with ADA standards and include reflective materials with protective UV lamination coatings per state brand guidelines. Vendor questions are due June 15, 2026, with state responses due June 17, 2026. Quotes are due June 23, 2026 at 2:00 p.m. The monument sign must be installed by July 22, 2026, with all remaining signage completed by August 22, 2026. Site visits are recommended but not mandatory. A single contract will be awarded to one vendor for all signage items, and the State reserves the right to terminate without cause upon written notice.

Respondents must submit firm bids with no contingency for errors and specify quote validity as 30, 60, or 90 days. Required documentation includes an Edison Supplier Number, Certificate of Insurance with minimum $1 million Commercial General Liability and $1 million Workers' Compensation coverage naming the State as additional insured, Revenue Registration Exemption, and W-9 form. Installation requirements include a preliminary meeting upon award, a walk-through site orientation with mock-up simulations within seven days of award, and 24-hour advance scheduling. A mandatory utility location check must precede all digging or installation work. All signage is subject to inspection and acceptance by the Tennessee Department of Tourist Development, with nonconforming supplies corrected or replaced at the contractor's expense. Compensation is contingent upon purchase order issuance and successful sign installation.
