Additional components include a 32RU floor-standing equipment rack, LAN network infrastructure, HDMI wall plate inputs, ceiling speakers, and removal of existing obsolete equipment. Written questions are due September 25, 2026 at 5:00 p.m. EST, and proposals must be submitted by October 5, 2026 at 10:00 a.m. EST. No pre-proposal conference will be held; however, vendors are directed to download updated proposal packets and current room equipment pictures from the County's website. The estimated contract start date is October 20, 2026, with a target completion date of December 31, 2026, extendable to February 1, 2027 if necessary. The contract term is for the duration of project completion with an initial one-year on-site service and warranty agreement, and the County reserves the right to award one or multiple contracts at its sole discretion.
Vendor proposals must include itemized equipment and labor costs on a provided Excel pricing form, three professional references, and detailed responses to a questionnaire addressing company experience, project management approach, training and support capabilities, and service level agreements. Section 4.02 Affirmative Covenants
Until the termination or expiration of this Contract, Vendor shall:
1. Execute such documents and present all necessary documents to the County for signature as are reasonably necessary to ensure that the County receives all services that it is entitled to under the Contract and shall take no action that would revoke the County’s rights under this Contract;
2. Give notice to the County, within ten (10) days of Vendor learning thereof, of any litigation involving a claim for damages in excess of One Hundred Thousand Dollars ($100,000) affecting or relating to the Vendor or the services required under this Contract.

Vendor will provide the County with a list of subcontractors it proposes to use for services under this Contract.
Vendor shall not use any subcontractor who has been subject to action that limits the subcontractor’s right to do business with the local, state, or federal government. The parties hereto understand that the County is legally prohibited from making payment to any entity other than Vendor unless the aforementioned novation contract is executed by the County and assignee. Any purported assignment made without County’s written consent is void and may result in the County exercising its right to terminate the Contract. The County may assert against an assignee any claim or defense the County may have against the assignor.
