About this file

This is Addendum #5 to RFP 69-3404, a Question and Answer document issued by UNC Greensboro Procurement Services regarding an Annual Paint Convenience Contract. The addendum addresses vendor inquiries regarding interior and exterior painting services across UNC Greensboro's residence halls, academic buildings, and administrative buildings. The RFP solicits proposals for comprehensive painting services including labor, equipment, supplies, supervision, and insurance. Proposals were due August 27, 2026, at 2:00 p.m. EDT via the eVP portal, with proposal opening scheduled for 2:30 p.m. EDT the same day. The contract term is one year from final execution with options to renew for up to two additional one-year terms at UNC Greensboro's sole discretion. Site visits are available to interested vendors as referenced in Addendum #3. A signed copy of Addendum #5 must be returned with the bid package or the submission may be rejected.

Pricing for the convenience contract should be submitted using the revised pricing sheet referenced in Addendum #2, with vendors providing firm fixed unit prices for interior walls (eggshell finish), ceilings under 12 feet (flat finish), wall trim and base materials (semi-gloss), doors and windows (semi-gloss), sheetrock repairs, and plaster repairs. UNC Greensboro's previous annual spending on painting services was approximately $350,000 across all building types. Additional work not covered by standard line items, such as equipment costs for high-area access or specialized labor, should be identified as separate line items on the pricing sheet. The preferred paint product is Sherwin-Williams ProMar 200. Work will be assigned through purchase orders, with turnaround times varying by project and season, though summer dormitory projects typically require two to three weeks' advance notice with some projects requiring shorter notice. Prices remain firm for 180 days from contract award, and this is a convenience contract with no guaranteed minimum spend, allowing UNCG to obtain services from other qualified vendors if deemed in the University's best interest.

1. Q. After reviewing the proposal packet for RFP 69-3404 we have several questions for pricing. Is there a sample room or sample that was emailed out that we can base pricing off of.

For example:

Line Item 1: Interior Walls – Are we basing this off 500sqft , 5,000sqft or 20,000sqft of walls

Same goes for the rest of the line items. Pricing will be different based on the quantity of sqft of walls or linear footage of trim.

We have worked with UNCC for many years completing this exact thing, but we need a little more information to put together an accurate RFP packet.

A. Vendors: Please see Addendum #2 and be sure to submit this REVISED pricing sheet with your response.

2. Q. Reference: Section 1.2, Convenience Contract

What was UNCG’s annual spending under the previous painting contract?

A. UNCG spent approximately $350,000 per year on painting services across housing, academic, and administrative buildings.

3. Q. Reference: Section 3.1, Method of Award How will work orders be assigned among the selected vendors?

A. Work will be assigned through purchase orders (POs).

4. Q. Reference: Section 5.2, Specifications

What is the typical size and required turnaround time for a work order?

A. The size and turnaround time will depend on the specific project and time of year. For example, summer dormitory projects may require a turnaround time of approximately two to three days.

5. Q. Reference: Section 5.2, Specifications

How much advance notice will vendors generally receive before work must begin?

A. UNCG will make every effort to schedule projects several weeks in advance. However, certain projects—particularly summer dormitory work—may require vendors to provide estimates and complete the work on relatively short notice.

6. Q. Reference: Section 1.0, Purpose and Background

Will most work occur in occupied or vacant spaces, and during what hours?

A. Most work will occur in vacant spaces. Depending on the needs of the department or project, work may be performed during normal business hours, after hours, or on weekends.

7. Q. Reference: Section 5.1, General

Is the vendor responsible for moving furniture and other items from work areas?

A. Within reason, the contractor will be responsible for shifting or moving furniture away from walls and returning it to its original location after the painting is complete. In most cases, UNCG faculty or staff will be responsible for removing or emptying items from the furniture before work begins.

8. Q. Reference: Section 5.2, Specifications

Does UNCG require specific paint brands or product standards? (If not, we have preferred brands.)

A. UNCG’s preferred paint product is Sherwin-Williams ProMar 200.

9. Q. Reference: Attachment A, Pricing

How should vendors price exterior painting and ceilings 12 feet or higher, since these services are not itemized separately on the pricing form?

A. Please see Addendum #2 for the revised pricing sheet to be submitted with your bid.

10. Q. RFP Section 7, 18: Do you think it will be easier for both parties to do the pricing by the hour as opposed to square footage? Some areas may be occupied which will require moving furniture. That would take longer and the hourly rate would reflect that.

A. Any additional work that is not covered by the contract should be identified as a separate line item on the RFP Addendum #6 Pricing Sheet.

11. Q. RFP Section 7, 18: How do we add the cost of a lift for high areas?

A. Equipment costs should be identified as a separate line item on the RFP Addendum #6

Pricing Sheet.

12. Q. RFP Section 5.2, 14: Is there a specific brand and type of paint required?

A. Please see Question 8.

13. Q. RFP Section 5, 14: Will some work have to be done on nights or weekends?

A. Yes. Depending on the needs of the specific project, some work may need to be performed during evenings or weekends.

14. Q. Would it be possible to arrange or conduct a site visit to view the facilities before submitting our proposal?

A. Yes. See Addendum #3.
