Proposal Overview and Schedule Overview The College is receiving proposals for equipment and installation of x1 AV system in a HyFlex classroom on campus. A successful proposal will include the following deliverables:

· Formal Quotation as separate PDF document (itemized equipment spec/model).

· Estimate lead time to deliver, install, configure new system.

Scope of Work:

Audio-Visual (AV) Equipment:

The awarded vendor will be responsible for providing the set of Audio-Visual (AV) equipment for classroom to be upgraded. The equipment should match the specific manufacturer and model for all line items listed on bid sheet of this document. Bidders are requested to include warranty coverage information for each line item in their proposals.

Professional Services:

In addition to the AV equipment, we require professional services for the installation of the new system. The services should include, but not be limited to:

· Delivery of equipment to install room in coordination with CIT point of contact.

· Installation of new AV systems, including mounting, wiring, and connection setup

· Testing and commissioning of the new AV systems to ensure proper functionality.

· Support services for equipment and installation as covered in proposal solution.

Project Outline The rooms shall have AV conference systems consisting of:

1. Touchscreen programming done by vendor.

1. Two (2) modes for room:

0. Hyflex: no inputs other than mediated desk computer, uses PTZ camera, Digital whiteboard, desktop extends to one monitor in front, one in back and one on desktop (two (2) total displays duplicated on six (6) monitors), uses overhead speakers for room sound reinforcement.

0. Classroom: standard mediation with extra components. Mediated desk computer, wired, or wireless laptop options are available for display. Digital whiteboard available through mediated desk computer, only 1 rear monitor is used, both front monitors duplicate interactive monitor desktop (two (2) total displays duplicated on five (5) monitors), uses overhead speakers.

1. PTZ camera features the instructor as they move throughout the room as camera input into conference software.

1. Nureva microphone shall be installed and cover both the instructor and students serving as the microphone input for the conferencing software.

1. Clevertouch Interactive displays shall act as whiteboards in each classroom and be available for screenshare in conferencing software with digital whiteboard and annotation visible to the remote audience.

1. Rear wall displays one shall be a confidence monitor and should duplicate the programming on the interactive monitor; the second is a screen extension so that remote audience can be displayed in Hyflex mode or is inactive in classroom mode.

1. Far end users and program audio will be heard over room speakers.

1. System will be agnostic with regards to conference software. Settings for in-room equipment will be appropriate for any conference software, with special attention to Zoom and Teams. This includes, but is not limited to, AEC settings.

1. Instructor stations (lecterns) shall be a Pivot Premier by Spectrum Industries Inc. with the companion equipment rack which shall contain the balance of the AV equipment including the owner provided PC. The following items will complete the desk order.

7. Lectern shall be 48” length

7. Lectern metal shall have black finish

7. Edgeband color may vary based on the laminate selected

7. Companion equipment rack should have matching finishes

7. Lectern shall have a custom laminate – TBD (can utilize Veranda Teak if necessary for pricing)

7. Lectern shall have a custom logo with matching laminate (MCC graphic assets are already on file with Spectrum so there are no fees for Artwork) Schedule

On-Site Visit:

Bidders are invited to visit our campus and see a classroom that is comparable to the room scheduled for upgrade. This visit will provide bidders with an opportunity to gain a better understanding of the project requirements and the existing infrastructure.

The on-site visit is scheduled for Thursday, January 25, from 11:00 am to 12:00 pm.

Note:

To be given consideration for an award, proposal bids must be submitted by the appointed time and date. Submissions must have an official Sealed Bid document with pricing and description of all line items. Bids must be signed, and the authority of the individual signing must be stated thereon.

The Office of Purchasing is the sole point of contact for the College with regard to all procurement and contractual matters relating to the services described therein.

The Office of Purchasing is the only office authorized to change, modify, amend, alter, clarify, etc. the specifications, terms and conditions of this RFP and any contract awarded as a result of this request.

The College will not recognize any changes except when authorized by the Purchasing Department.

Bids will be received by the Purchasing Department until 3:00 P.M., Wednesday, February 14, 2024.

CONDITIONS

1.
Macomb Community College reserves the right to reject any or all bids and to award by item, combination of items or lot.
2.
The omission of payment terms and/or other information on bid replies may subject it to disqualification.
3.
The Michigan State Sales and use taxes and the Federal excise tax do not apply. Exemption certificates will be furnished where necessary.
4.
Unless otherwise provided, bid and acceptance shall constitute the contract.
5.
In case bidder fails to make delivery of any item or items within the terms herein specified, or shall make delivery of goods not in accordance with the terms and specifications, the College shall have the right to declare the order canceled and either accept the next lowest bid or again advertise for bids and to hold the original bidder liable for the difference between the amount of its bad and the amount that the Board shall in either of such cases be required to pay, or the college may elect to receive the item or items not delivered within the time and hold the bidder responsible for amount equal to ten percent of the amount bid on such items as liquidated damages for the delay, and said bidder in such cases agrees to make payment accordingly.

Instructions, manufacturer’s catalog numbers, etc., where shown herein, are for descriptive purposes to guide the bidder in interpreting the standard of quality, design, and performance desired and shall not be construed to exclude proposals based on furnishing other types of material or services. However, any substitutions or departure proposed by bidder must be clearly noted and described; otherwise, it will be understood the bide intends to exactly meet the specifications. Samples must be submitted with quotation when a substitute material is quoted.
7.
In the event the goods are rejected by the college as not being in accordance with these specifications, a matter, in which the college shall be the sole judge, such goods shall be removed by the said bidder upon notice, and if required by the college replaced with new material which shall be subject to a like inspection and approved by the said college or the said college at its election may procure the materials from other sources as provided in Paragraph Four.
