About this file

This file is Addendum 2 to a Request for Proposal issued by Lake Orion Community Schools for the procurement of audiovisual systems, structured cabling, public address systems, and clock systems across multiple school buildings. The RFP encompasses four primary sections: Section 2 covers classroom and conference room audiovisual equipment including interactive flat panels (IFPs) in 65", 75", and 86" sizes, sound enhancement systems with microphones, and document cameras; Section 3 addresses structured cabling infrastructure including Cat 6 cabling, patch panels, and fiber backbone systems; Section 4covers large area presentation equipment including projectors and audio systems; and Section 5 covers public address and clock systems including analog clocks, digital clocks, ceiling and wall speakers, and integrated management systems. The device inventory indicates phased implementation across multiple buildings from 2020 through 2023, with quantities ranging from 246 wall-mounted 75" IFPs to 574 ceiling speakers. Vendors must submit required forms including a Proposal Summary, Non-Familial Relationship Affidavit, Iran Economic Sanctions Act Form, School Safety Affidavit, Comply Exception Form, Specifications, Vendor Questionnaire, Device Inventory, and Cost sheets in Microsoft Excel format.

Bidders must provide comprehensive pricing for all four sections with itemized unit costs, guaranteed percentages off educational list pricing for future purchases through 2024, and labor rate guarantees for individual installation items. The RFP requires vendors to hold pricing for equipment of the same model across the multi-year renovation schedule and permits extended unit pricing to other Oakland County school districts. Vendors must demonstrate compliance with all technical specifications or clearly document exceptions; provide references from similar educational installations; confirm bonding and insurance limits; and include detailed service, warranty, and maintenance information. All classroom audiovisual equipment requires a 5-year parts and labor warranty with the first year on-site, UL certification, and SMART Learning Suite software included at no additional charge. The structured cabling must include a certified 25-year performance guarantee, and the PA system must provide 30 minutes of continued paging operation during power or network outages through district-provided UPS backup.
