About this file

This is Addendum #2 to a Request for Proposal issued by Lake Orion Community Schools for Audio-Visual, Cabling, PA, and Clock systems. The addendum, dated February 24, 2020, extends the bid due date to March 6, 2020, at 1:00 p.m. The project encompasses five sections: classroom AV systems, cabling infrastructure, large area AV systems, KIVA AV equipment, and PA systems with clocks. Seven vendors attended the prebid meeting: DAT, Security Designs, Sound Planning Communications, Starboard, Tierney, Vector Tech Group, and VSC. The district will accept split awards across any project category. Demonstrations are required for existing classroom presentation and audio systems, cabling in buildings undergoing recabling, KIVA AV equipment, and existing PA components with associated cabling. The district will tag equipment to be salvaged, and asbestos abatement is scheduled at Carpenter and Webber buildings with work staged to minimize operational disruption.

The district maintains a strong preference for SMART interactive panels, specifically the MX model, and designated document camera models that have been evaluated and selected by teachers. For large area AV systems, the district will consider alternative manufacturers provided specifications meet or exceed requirements. The district plans to install all new speakers unless vendors recommend reusing existing equipment. Separate patch panels are required for digital clocks. The data center is relocating to Oakland Schools. Exterior paging horns should be selected based on vendor experience to best adhere to specified performance requirements. Construction trades will handle electrical disconnection from ceiling-mounted projectors.

Re: Lake Orion Community Schools AV, Cabling, PA & Clock RFP

1. Please note that the bid due date has been extended to March 6th at 1pm.

2. The following vendors attended the prebid meeting: DAT, Security Designs, Sound Planning Communications, Starboard., Tierney, Vector Tech Group, and VSC.

Below are clarifications and answers to vendor questions to date:

QUESTION ANSWER

1. In Appendix A - Device Inventory Tab - Paging and Clocks Quantities. The Column sum formula for Total and Future Total ranges do not match the other technologies. Additionally, the Paint Creek classroom PA speaker count appears to be incorrect.

Please see updated Appendix A, Device inventory for corrected totals in Section 5.

2. Will you consider a split award? Yes, please see updated related question in the Vendor questionnaire (highlighted). We would consider splitting it across any of the categories.

3. What demo will be required? Please refer to the RFP for specific details. For Section 2 you will need to demo the existing classroom presentation and audio, as well as the cabling. For Section 3, you will need to demo existing cabling in buildings that are being recabled.

For Section 4, you will need to demo the KIVA AV.

For Section 5, you will need to demo existing PA and components, clocks and associated cabling.

QUESTION ANSWER

4. Will district be saving demo equipment? The district will tag equipment to be saved.

5. For Section 2, Classroom AV– would the district consider alternatives to the recommended manufacturers?

The District has a very strong preference for SMART, specifically the MX model specified.

Additionally, the District has provided specific models of document cameras. The panels and cameras have been reviewed and evaluated by teachers and have been determined to be the preferred model.

6. For Section 4, Large Area AV – would the district consider alternatives to the recommended manufacturers?

Assuming all specs are the same or better, the District would consider alternatives.

7. Will the district be disconnecting the electrical from an of the ceiling tiles with projectors?

Yes, the construction trades will be doing this.

8. Is there asbestos abatement in any area There is asbestos abatement required at Carpenter and Webber (none at Orion Oaks). The abatement at Carpenter is scheduled to start at the end of school and will be staged through the building – it is only the flooring so everyone can work in all the areas prior to or after they do the abatement. At Weber there is one room that has asbestos is the ceiling and we are hoping to remove that over spring break.

The rest of the abetment work there is in the wing of the building that is being demolished so will not affect anyone.

9. Where is the data center? The data center will be moving to Oakland Schools.

10. Are you looking for all new speakers or to reuse existing speakers.

The district is planning to use all new speakers, unless vendors recommend otherwise.

11. With regards to exterior paging horns, is there a particular manufacturer and model you are using for reference? I can find all kinds of products that meet some of (but not all) the performance specs?

Please provide the product that based on their experience best adheres to the requirements.

12. Are separate patch panels required for the digital clocks?

Yes
