SITE VISIT MINUTES

FA6633-15-R-0002

REPAIR DOOR HEATING TRACK, BLDG 821

PROJECT: QJKL 11-0014

Site Visit - 16 April 2015 (10:00 AM) Bldg. 729

A site visit was conducted on 16 April 2015 in the Contracting Conference Room, Bldg 729 room 118 (see site visit attendance roster following these minutes for names of the attendees) for any interested contractors and potential subcontractors.

Contracting/Carol Lohman provided an overview of the basic contract requirements and some information pertinent to this specific solicitation:

1) One contract will be awarded with one contract line items (CLIN). CLIN 0001 will include pricing to repair the the north and south hanger door heating tracks in Bldg 821. Performance period is 120 days. Phasing requirements for each door were reviewed. One door must be completed before the other door begins. Additionally, a “free zone” will need to be established – no escorts will be required once inside the free zone.

2) Due to construction work to repair the area in and around the 934th AW Main Gate this summer, the Main Gate will be closed for 60 days from approximately mid-July through mid- Aug. 934 AW Visitor Control will remain open and will continue to issue long-term passes to contractors requiring entry which will be thru the 133rd ANG Main Gate off MN Hiway 55.

The truck delivery gate will thru the Army Guard Main Gate off MN Hiway 55.

3) Funds are not presently available, but we are fairly sure we will obtain them with work starting soon after – this project is high on the prioirty list.

4) Contractors should pay attention to the “Proposal Preparation Instructions” in Section L and “Evaluation Factors for Award” Section M of the solicitation

5) All proposal are due on 4 May 2015, 10:00am in Bldg 729, Room 118. No late proposals will be accepted, and we’ll need security info on anyone delivering a proposal.

6) There will be approximately 10 other construction projects in and around these buildings which must be coordinated with this project

7) ALL QUESTIONS MUST BE RECEIVED IN WRITING TO CAROL LOHMAN NO

LATER THAN 23 April 2015, COB, 4:30PM. These will be consolidated and responses provided and posted on 24 April to www.fbo.gov

Civil Engineering/Corey Peterson provided a general overview of the project, and what the government’s expectations are for this project. Additionally, due to the proximity of the free zones to an active runway, there will need to be an object-free area (FOD) within the free zones to the maximum extent possible.

Documents available at the site visit as indicated below:

a. Business cards for Carol Lohman

b. Procurement Fair flyers (Procurement Fair on 30 April at Earle Brown Center) http://www.fbo.gov/

Contractors were advised that no amendments have been issued to date; however, one amendment will be required due to questions during the site visit that will result in drawing revisions . Should other amendments be necessary after 24 April, the proposal due date may need to be extended.

Contractors were then taken to Bldg 821 for visual inspections of the door tracks, hanger doors, and boiler location. Adequate pictures are included in the drawings with enough detail to propose the project.

General questions may be directed to myself at 612-713-1430, or technical questions are to be emailed to Carolyn.Lohman.1@us.af.mil or faxed to 612-713-1425 Attn: Carol Lohman.
