About this file

This is Addendum No. 2 to an Invitation for Bid (IFB 2000004389) issued by the Financial Services Office of Procurement Services for Fairfax County Public Schools and Fairfax County Government in Virginia. The solicitation establishes a term contract for musical instruments at a percentage discount from manufacturers' suggested retail price (MSRP) to serve all departments and activities of both entities. The addendum, dated July 27, 2026, addresses bidder clarifications and modifies submission requirements. The bid due date is August 6, 2026, at 2:00 PM ET. No information regarding site visits, bidders' conferences, award dates, or contract term and renewal options is provided in this addendum document.

The addendum clarifies two critical submission requirements for the Pricing Schedule. First, bidders must provide a definitive delivery timeframe in days after receipt of order (ARO) rather than a range of days. When multiple delivery timeframes exist within a single line item or manufacturer group, bidders must enter the shortest timeframe applicable to all in-stock, non-custom, non-special instruments. Second, when bidders elect not to bid on a specific manufacturer or product group, they must enter "NO BID" in the Percentage Discount column on the Pricing Schedule rather than leaving fields blank. All other terms and conditions from the original IFB remain unchanged. Bidders are required to acknowledge this addendum with a signature and date and return the signed copy as requested, in addition to signing the original bid document.

ADDENDUM NO. 2

TO: ALL PROSPECTIVE BIDDERS

REFERENCE: IFB 2000004389

FOR: Musical Instruments

DUE DATE/TIME: August 6, 2026 at 2:00 PM ET

IFB CLARIFICATIONS:

The following are responses to questions received via e-mail and Euna Procurement / Bonfire.

Q1. Will you accept a range of days (e.g. 5-30) in response to the Delivery section in the Pricing Schedule? Some products from certain manufacturers are not always kept in stock in the US for us (the vendor) to request. Some products may have to be shipped from overseas ARO. If a range of days is unacceptable, may we give number of days for delivery ARO for "In Stock" products, and then a second number of days for delivery ARO for "Backordered" products?

A1. The delivery response must be a definitive time frame, IN DAYS, on the Pricing Schedule within which delivery will be made after receipt of order (ARO). If there are multiple delivery timeframes within one line item or manufacturer group on the Pricing Schedule, bidders must enter the shortest timeframe that applies to all in stock, non-custom/non-special instruments. In the example, the Bidder must insert “30” on the deliver response ARO line on the Pricing Schedule. Refer to Modification 2 in Addendum 1.

Q2. If we need to NO BID a manufacturer or a specific product group from a Manufacturer, would you prefer we leave the fields "blank" or would you prefer we physically write "NO BID" somewhere (like the Percentage Discount field perhaps)?

A2.The preference is to enter “NO BID” under the Percentage Discount column on the Pricing Schedule.

All other terms and conditions remain unchanged.
