Pre-Bid Meeting Notes Summary

This document is a pre-bid meeting notes file from Supporting Voices of Survivors, a domestic violence shelter in Utah, in coordination with Salt Lake County and SVS representatives. The project involves the installation of room dividers in the form of T-shaped walls within shared family rooms at the shelter to create privacy for residents. The pre-bid meeting was held on September 16, 2026, from 12:00 PM to 1:00 PM via Microsoft Teams, with attendance required for contractors intending to submit bids. Two potential contractors attended: Yegor with Taypa Construction LLC and Preston with Roof Medics Utah. Preston conducted an on-site visit on September 14, 2026, using blue painter's tape to visualize wall placement in resident rooms. The project deadline for question submissions is September 21, 2026, at 5:00 PM through U3P, with final bid submissions due September 24, 2026, at 5:00 PM.

Preston with Roof Medics Utah recommended 5-inch sheet rock extending to the ceiling and protruding 6 feet from the wall in a T-shape configuration, designed to maximize privacy and sound control while preventing residents from climbing the barriers. The textured finish will match existing resident room finishes. Preston suggested that if sound concerns arise post-completion, soundproof boards could be installed as a cost-effective alternative to soundproof walls. All contractor communications are to be directed through U3P, with direct contact with potential contractors to cease immediately, as communicated by Madeline representing the issuing office.

Room Divider Installation Pre-Bid Meeting Notes 09.16.2026

Opportunity View - U3P

• Potential contractors, Yegor with Taypa Construction LLC and Preston with Roof Medics Utah joined the meeting

• Madeline with Salt Lake County and Demi, Juan, April, and Rob from SVS joined to answer questions and share information about the project

• Juan and Demi provided an overview of the project o Purpose is to create privacy for shared family rooms o We are a domestic violence shelter and require confidentiality, which was emphasized

• Preston with Roof Medics Utah shared that he came on site to shelter on Monday, 9/14, to see what the project would look like o He used blue painter’s tape to visualize where the placements of the T-shaped wall will go inside the resident room o Mirrored this in the second resident room o He recommends 5-inch sheet rock (best for privacy and sound) that goes to the ceiling, comes out 6-ft from the wall and forms a T shape o The wall will have a textured finish, similar to what is already in the resident rooms o If there are complaints of sound for residents in the rooms, once the project is complete, then Preston suggests getting soundproof boards that are much cheaper than doing soundproof walls for the project

• Demi reviewed with Preston why he is recommending the wall goes up to the ceiling o Preston shared that the purpose is to ensure privacy and limit residents from trying to climb the wall o There are bunk beds in the room and likely a resident on the top bunk would want to climb or look over the wall o Preston mentioned that the lighting would be better bringing the wall up to the ceiling as well

• Yego with Taypa Construction LLC joined the first few minutes of the meeting and then left due to internet issues

• Madeline explained her role with the process of the project to all attendees

• Madeline has asked that we stop all contact with potential contractors and encouraged contractors to submit their questions about the project directly on U3P
