About this file
This amendment document pertains to the West Tennessee Emergency Management Agency's (WTEMA) emergency generator maintenance contract for the Tennessee Department of Disability & Aging. Amendment 1 modifies the original solicitation for comprehensive maintenance and repair services covering multiple generator models—including Generac, Kohler, McGraw-Edison Onan, and Elliott units—at West Tennessee Regional Office and Community Homes facilities. The scope encompasses preventive maintenance inspections, filter replacements, load bank testing for both gas and diesel generators, fuel system servicing, and emergency repair services. The contract maintains a one-year term with potential renewal options, and services must be delivered with rapid-response capability for emergency repairs and quarterly preventive maintenance visits to all designated generator locations.
The amendment establishes performance requirements tied to generator availability and emergency response times, with bidders required to provide detailed cost proposals including labor rates, parts pricing, and service call fees. Contractors must demonstrate experience with commercial-grade generator systems and possess appropriate Tennessee electrical licensing and certifications. The contract may include set-aside provisions for minority-owned or small businesses as determined by state requirements. Funding is provided through WTEMA's emergency management budget and may include state or federal emergency management grant allocations. Insurance, bonding, and record-keeping responsibilities are established as contractual requirements, with site visits available to allow prospective bidders to assess generator locations and current conditions prior to proposal submission.

| There are 8 generators, correct, for 5 years? Annual PMs are once per year, which would be 8 generators x 5 years = 40 qty. That would mean there are only 3 services left to complete in that same year to complete quarterly inspections, because the Annual has been done (4 qtrs in a year). |
3 qtrly x 8 generators = 24 per x 5 yrs = 120 qty The only way 160 would be correct is if there are only quarterly inspections done and no annual inspections.
Can you shed some light please?
Per the Specifications document, Section XI. Maintenance Schedule, subsection E.2., Quarterly inspections are to take place when notified by Agency representative. The Agency is planning on conducting inspections when able to which is why the quarterly inspection requirement math does not add up correctly for the contract term.
2. ITB Amendment Effective Date. The revisions set forth herein shall be effective upon release. All other terms and conditions of this ITB not expressly amended herein shall remain in full force and effect.
