About this file

This is a Request for Proposals (RFP) issued by Southwest Technical College in Utah for a comprehensive upgrade to the audiovisual system in its Multipurpose Room. The project involves design, installation, configuration, and commissioning of a modernized A/V system serving a 1,992 square-foot flat-floor space with seating capacity for approximately 100 occupants. The system must support dual wall-mounted televisions, wireless microphone integration, hybrid meeting conferencing via platforms such as Zoom and Microsoft Teams, assistive listening capabilities, and simplified control interfaces. The room features an operable partition allowing it to function as one large space or two separate zones, requiring audio separation capability. An optional pre-proposal site visit is highly encouraged, though attendance is not mandatory. Questions must be submitted by April 1, 2026, to Jeff Swift at jswift@stech.edu, with proposals due electronically by May 1, 2026. Installation must be completed no later than August 2026.

The cost proposal must be submitted as a separate document from the technical proposal and must include all equipment, labor, installation, programming, assistive listening components, and training costs with pricing guaranteed for one year. All mandatory minimum requirements must be met for a proposal to be considered responsive, including demonstrated experience with commercial A/V systems for public or educational spaces, ability to integrate existing microphones and speakers, support for simplified non-touch-panel controls, dual-display video output, hybrid meeting environments, and assistive listening solutions. The evaluation process occurs in three stages: initial responsiveness review, technical evaluation against specified criteria, and cost proposal evaluation. A single contract award is anticipated to the responsive and responsible offeror providing the best overall value. The contract is for a one-time installation project with no renewal options specified.
