About this opportunity

The United States Embassy in Mexico City is procuring CRESTRON brand spare parts for the intercom and audiovisual system at the New Embassy Compound through Request for Quotations (RFQ) 19MX5325Q0073. The procurement specifically requires 33 Original Equipment Manufacturer (OEM) components including Digital Media switchers, transmitters, receivers, touch screens, control systems, and various input/output cards that must exactly match the originally installed equipment to ensure system compatibility and maintain manufacturer warranties. All contractors must be registered in the System for Award Management (SAM) database prior to proposal submission, and the government may award the contract based on initial offers without discussion as a firm-fixed price purchase order. The evaluation will prioritize strict adherence to brand and model specifications, with acceptance contingent upon physical inspection and the supplier's ability to replace defective items within 10 business days. Critical deadlines include questions due by September 24, 2025 at 12:00 PM Mexico City local time, with proposals due September 26, 2025 at 12:00 PM local time, and electronic responses are permitted via email to the designated contracting office.

This solicitation does not utilize any set-aside designation and is open to all responsible sources that can meet the brand-name requirements, with no incumbent contractor specifically identified in the documentation. The estimated contract value is approximately $193,000 for the 33 specific Crestron components, which represents a sole-source procurement justified under FAR 13.106-1(b)(1) due to the critical need for brand-specific replacement parts. The required delivery date is tentatively scheduled for October 27, 2025, though this remains to be determined, with delivery coordinated through the General Services Office and Facility Management Office. Performance will occur at the U.S. Embassy in Mexico City, Mexico, specifically at the New Embassy Compound, with some flexibility for delivery to Brownsville as an alternative location. The procurement emphasizes that all items must be brand new, undamaged, correctly packaged, and properly identified, with no substitutions allowed to preserve the integrity of the existing consular audiovisual system infrastructure.
