Prerequisites

The company must provide a letter from the manufacturer in which is specified that the integrator has the skills and technical knowledge to deploy the project with success. In addition, the contractor must add at least one reference letter depicting that they have implemented at least one similar automation project in the last three years.

Installation and configuration services should be provided as part of the equipment purchase. Services including but not limited to:

o Automation of all rooms (Classrooms 1, 2 and 3, breakout rooms 1,2 and 3, events hall and directors conference room) o Control the audio visual equipment, lights, air conditioner system and screens from an intuitive easy-to-use touch panel.

o Power on all audio and visual devices, choose the audio and video source and adjust volume with a centralized control.

o The quantity, type and location of all audio-visual inputs and outputs (for each room) should be based on the building blueprints.

o The type of digital media transmitter inputs and outputs will be provided o The quantity, type and location of all temperature/humidity sensors should be based on the building blueprints.

Deploy a platform that supports :

o Integration with Microsoft Exchange Server and email cloud based services

(Microsoft Office 365 support) for scheduling. This enables building occupants to conveniently book rooms based on location, capacity, and assets. Enabling network room scheduling from an add-in for Outlook and from a touch screen conveniently wall-mounted outside each room. The rooms where these touch screens will be installed and their final positions are going to be defined in the blueprints.

o Network room scheduling providing intelligent management of resources for increased productivity and efficiency. Schedule meetings with Outlook and the calendar also should appear on the touch screen outside the room. If no one shows up for a scheduled meeting, the system automatically would clears it (if required) from the calendar and the touch screen to indicate the room is available for use.

o Preset and automate events, such as end-of-day shutdown, with minimal effort or overhead. Monitor room occupancy to automatically turn AV devices “on” and

“off” throughout the day. Automatic email scheduling should be supported to send reports to a group of recipients on a recurring basis.

o Creating and storing instructions, safety protocols, images, and animations that can be reviewed, evaluated, and modified before critical situations arise. In the event of an emergency, broadcast messages will automatically override presentation content on all connected displays and on scheduling touch screens.

With the use of this platform ILEA institution and staff should:

o Reduce the ILEA energy consumption by automatically turning off lights and reducing HVAC use in unoccupied spaces.

o Prepare rooms for meetings. Adjusting pre-meeting settings should be simple from the intuitive GUI. Menus must provide temperature set points and lighting presets;

to simply make a selection and then choose how many minutes before the meeting the operator what it to take effect. If the meeting is cancelled, once occupancy is undetected after the timeout period it must return to the vacated state.

o Track energy usage and organize all lighting loads. Show real-time and historical energy consumption. View by day, week, month, or year to compare numbers to the previous time period.

o Pinpoint specific sources of energy waste in real-time and take immediate action.

o Receive instant alert notifications including but not limited to: email and applications on any web-enabled computer, mobile device (IOS, Android and

Windows), or touch screen when issues arise

o The current interpretation, video, sound and lighting system should be included in the automation project, even though when the new interpretation, video, sound and lighting system arrives to ILEA San Salvador the company should also perform the required tasks to include them in the automation project as well.

o The current curtains located in breakout rooms 1, 2, and 3 should be also automated, a compatible motorized system should be included to automatically close and open the curtains, if the current curtains are not compatible with the motorized system a new set of curtains should be included (the color and additional features of the new curtains should be first approved by the ILEA IT representative).

o A projector and motorized projection screen must be included for the events hall

(see specifications for Classroom type 4). The hardware, software, licenses, installation and configuration services to automate these items also should be included and must be first approved by the ILEA IT representative.

Project Manager, during the implementation period, tasked with defining and coordinating the activities and resources needed to adequately carry out the works.

This Project Manager will be the communication channel between ILEA and the contractor for all matters pertaining to meetings, minutes, planning, and implementation timelines, including progress reports.

The Contractor shall provide a 5-day official certified (by equipment manufacturer) training services and tools to the ILEA San Salvador IT team in order to ensure success of the complete solution.

o A letter form the manufacturer should be also included stating that the training, instructor and dates are certified and must be first approved by the ILEA IT representative.

o The training must be exclusive for ILEA IT staff members (3 people).
