Questions & Answers Section III

I have reviewed the list of questions and attached is my response document (I added my responses in green to separate them from prior responses. Before forwarding it would be good for you, Ken or Jeff to review and make sure it all matches your expectations and understanding).

I am VERY worried about some of these questions as many are answered directly by the TA series drawings that were included with the bid set. Some of these questions make it clear to me that bidders did not take a look at the diagrams (or detailed specifications) and are basing their questions solely on the equipment list and the pre-bid meeting. There are some questions (i.e. requirement for 40 vs 18 microphones) that may have come from comments during the pre-bid that do not match what was included in the equipment list or diagrams, but others are clearly because the diagrams were not reviewed at all.

A few things to note per the questions to make sure you are all aware of how these are included:

1. PCs: There are two PCs in the system (a content PC and a configuration PC). These are both shown as owner provided and will need to be procured and provided by your team.

1. Room Scheduling: This system’s specification did not include an RMS server for tying room scheduling to your ScheduAll system. This gets complicated as you add venues and want to tie it all together. The best solution would be for Events Management to have a single centralized RMS server that can be accessed through your network from the system controllers at every venue versus trying to replicate this integration at each location. But I want to make sure you are aware of what was included with this project which is only the touch panels with preview and the possibility for manually entering data. There is a system controller of course so the possibility of tying that to a central RMS server is there but I don’t think you have that in place yet.

1. One of the questions indicates a requirement for 40 wireless microphones. Per our conversations during design, we included a total of 18 microphones (6 desktop, 6 hand held and 6 beltpacks). This may have been a comment during pre-bid walk? If this requirement is accurate, then additional equipment must be provided to make this operational.

1. Per our past conversations and to be clear, the design intends for replacing the existing audio mixer completely. We included the audio DSP and two sets of fader controllers (16 channels that can be assigned in banks) for individual audio channel control. This should provide the same mixing functionality as the mixer but without having audio pass through it (it is only a controller). We had previously discussed and agreed on this solution. A question makes it seem like the existing mixer will remain and I am worried that might have been relayed during the pre-bid meeting. If this requirement has changed, adjustments may be needed to the design to make this work as expected as currently there are no audio inputs or outputs going through the existing mixer on the new design.
