APPENDIX 1

PRICING MATRIX DESCRIPTION FOR TRAVEL SERVICES

Travel Grants:

Offeror shall provide one flat rate fee per traveler, to include: making airline reservations and purchasing plane tickets, making pre-paid hotel reservations, arranging other transportation (bus, rail, etc.), providing conference registration, and arranging per diem transfers. Not all Travel Grants will require performing every task; the IAF may request the contractor to complete one or all five of these transactions listed above, for each Grant. Most grants require arranging airfare, per diem, and hotel. Arranging other transportation is seldom a requirement, but should be considered in providing the flat rate. About 33% of grants may also require arranging conference registrations. (Approximately 70% of the Travel Grants will require making arrangements for individuals living overseas in Latin America and the Caribbean. While there are some added difficulties making these transactions internationally versus domestically, one flat rate shall be provided by Offeror for both situations). Travel Grant Fee per person – to include domestic and/or international.

**Offerors shall provide a break-down and explanation of how this fee is calculated in a separate document.

Transfer Grants:

Offeror shall provide a flat rate fee per Transfer Grant plus a percentage of the total amount transferred, to cover the following: expenses involved in actual transfer of money to Grantees (by check, Western Union, MoneyGram, bank EFT, etc.), request of Grantee’s receipts and expense reports, and review/verification of authorized expenses. Because of the increased cost of using commercial transfer services for larger amounts, approximately 70% of the transfer grants will rely on bank transfers.

As this transaction may be handled in two parts (initial transfer and subsequent transfer upon completion of grant activities, as appropriate – see SOW Section C: Transfer Grant Procedures), the Contractor may request funds reimbursement (to match initial amount transferred) after the first transfer. Flat fee, Expense % and reimbursement of final transfer amount shall be invoiced only after final (2nd) transfer of funds has been made.

**Offeror shall provide a break-down and explanation of how these fees and expense percentages are calculated in a separate document.

Travel Insurance:

As directed by the IAF, Contractor shall provide a flat daily rate per traveler, for U.S. and non-U.S. citizens (excluding IAF staff) travelling outside of their home country for the following short-term insurance, including, at a minimum:

· $250,000 Medical Expense Benefits to include benefits for: Accident and Sickness, Medical Evacuation, Repatriation of Remains, Emergency Dental, and;

· $25,000 Accidental Death and Dismemberment Benefit

The length of coverage duration shall depend on the event or duration of the travel event.

Logistical Support Services – Labor hour at a fixed rate (NTE).

Offerors shall provide an hourly rate (fully loaded) for support functions for IAF-sponsored events, such as identifying and procuring conference sites, acquiring audio-visual support, arranging for interpretation services or catering, and other related tasks. The IAF may sponsor approximately 25 events annually, held in the U.S., Latin America, and the Caribbean. The number of grants and events may fluctuate during the life of the contract. Hourly rate (fully loaded).

**Offeror shall provide a break-down and explanation of how this hourly rate is calculated in a separate document.

Note: Contractor’s travel expenses will be paid at actual, in accordance with Federal per diem.
