About this file

This document is a user and profile maintenance guide for the City of Long Beach's Long Beach Buys procurement platform, powered by Periscope. The guide provides comprehensive instructions for Seller Administrators responsible for managing vendor accounts, user access, organizational information, and commodity codes within the Long Beach Buys system. The guide covers four primary administrative functions: adding new users with either Seller or Seller Administrator roles, maintaining existing user accounts through status changes and password resets, managing organizational addresses for bid mailing and general correspondence, and maintaining commodity codes and services that determine bid notifications. The document includes step-by-step procedures for each function, accompanied by screenshots demonstrating the relevant system interfaces and form fields.

The maintenance procedures outlined in this guide do not involve pricing terms, set-asides, or contract awards, as this is purely an administrative reference document. Rather, it serves as an operational manual for vendor account management within Long Beach's eBidding system. Key administrative features include the ability to assign user roles that control access levels to bids, purchase orders, and electronic quote submission; to inactivate or lock user accounts as needed; to reset user passwords through system-generated temporary credentials; to add and edit multiple mailing addresses with contact information; and to search and add commodity codes by keyword or category to ensure vendors receive appropriate bid notifications matching their business services. The guide emphasizes that Seller Administrators must manually provide newly created Login IDs to users, as the system only generates temporary passwords via automated email.
