Questions and Answers Regarding Oral Presentations
HSHQDC-17-R-00006
Question 1: Please provide information regarding the configuration of the room where Oral
Presentations will occur -- layout of room (i.e., Industry presenters in relation to Government
Evaluation Panel)
Answer 1: Oral presentations will take place in standard conference rooms with individuals seated around a conference table. There will be a screen at one end of the room with the slides projected on it and room for presenters to stand near the screen should they wish to.
Question 2: Will a podium be available for presenters to utilize during their presentation?
Answer 2: No, a podium will not be available.
Question 3: Will PowerPoint slides be projected from a laptop computer to a display screen?
Should we bring a laptop computer for this purpose?
Answer 3: The PowerPoint slides will be projected from a Government laptop to a display screen. As stated in the Advisory Letter, please do not bring projection equipment. The projection equipment in the conference rooms cannot be connected to non-DHS issued laptops.
The projection of the slides will be set up for you. Presenters will be able to control the motion/progression of the slides.
Question 4: Please clarify if the third (non-key personnel) person attending the oral presentation can: (1) present during the technical approach presentation and (2) answer questions during the question and answer session.
Answer 4: The third person cannot present during the presentation of the technical approach to the sample problem. However, the third person may answer questions during the question and answer period.
Question 5: Do the file size limitation of 5 Meg from the RFP apply to the transmission of the
Power Point Presentation file?
Answer 5: Yes, the file size limitation of 5 MB applies to the transmission of the PowerPoint file. Larger email sizes are sometimes not accepted by the Government’s email infrastructure, and we don’t want anyone’s presentation file to be undeliverable. If your file exceeds 5 MB, either compress it using WinZip or send sections of it via multiple emails. The Government will combine multiple files into one file for the presentation if the desired order of the files is clearly indicated, and the Offeror will be able to confirm the order of their slides during the ten minute set up period.
Question 6: Are hard copies of our Oral Presentation required? If so, how many copies are required?
Answer 6: As stated in the Advisory Letter, please do not bring printed materials for the
Government. The Government will print hard copies of each oral presentation and provide them to the Government attendees.
Question 7: Are we able to bring with us a copy of our Volumes I and II Proposal and hard copies of our presentation?
Answer 7: Offerors may bring reference materials, including their Volumes I and II and presentation, for themselves only. As stated in the Advisory Letter, please do not bring printed materials for the Government.
