MAKE INTRODUCTIONS
1 Have you reviewed the requirements of FAR 36.210 for all solicitations?
Have you reserved the conference room or another meeting place, as applicable? If the date/time of the conference is different than what you have in your solicitation, have you notified all prospective offerors of the new date/time?
3 Have you arranged transportation?
4 Have you coordinated with the affected agencies to ensure cooperation and attendance? (i.e., Civil Engineers, Technical Representative/Inspector, Safety, Security Police)
5 If multiple sites are affected, have you arranged access to each and/or representative samples of each type of facility?
6 When opening the conference or visit, did you announce the following?
a. Remarks and explanations at the meeting shall not qualify the terms of the solicitation; and
b. Terms of the solicitation and specifications remain unchanged unless the solicitation is amended in writing.
7 Were all questions submitted in writing? (It is recommended that you consolidate all questions and assign a tracking number to each. This will be invaluable in gathering and providing responses. Also helps eliminate duplicate questions.)
8 Have all questions been routed to the proper agency for resolution? Give a reasonable suspense so you can get the answers back to the offerors in a timely manner.
9 Have all questions been answered and has the Contracting Officer reviewed the answers prior to posting on FedBizOpps?
10 Did you prepare minutes of the meeting to include all questions (non-attributable) and answers?
11 Have you documented the who, what, where, and when aspects of the Site Visit/Preproposal Conference?
