About this file
This document is a job aid for IT VMS (Vendor Management System) contracted personnel working for the Department of Administration, providing specific time entry instructions for the week of June 29 through July 5, 2025. The job aid addresses the transition between fiscal years, requiring different User Field 3 coding for hours worked on different dates during this transitional week.
The document provides detailed instructions for both Punch Time and Elapsed Time entry methods through the Employee Self Service system. Hours worked on June 29-30, 2025, must be coded using the Fiscal Year 2025 User Field 3, while hours worked from July 1-5, 2025, must be coded using the Fiscal Year 2026 User Field 3. The job aid emphasizes the critical importance of selecting the correct fiscal year User Field 3, as incorrect selection will generate a "VMS entry not found" exception that prevents payable time from processing for payment until corrected. The document includes step-by-step screenshots and instructions for navigating the time entry system, searching for appropriate User Field 3 values, and submitting timesheet information properly.
