About this file

This document is a Question and Answer summary from a pre-bid meeting for Willow Landscape project (GovTribe ID: ce660c72195954927a07444d250e9e2c, Bid B-53468). The document outlines clarifications provided to prospective bidders regarding contract requirements and site conditions. The contracting entity appears to be AMHC (likely a state or local housing/municipal agency), and the project involves landscape installation and maintenance services.

The scope of work includes landscape installation with associated site preparation, grading, sod installation with chemical treatment, and fabric installation. Key contract terms specify that bidders are not required to provide a bid bond, must supply their own water for the project, and are permitted to utilize subcontractors. The contractor is responsible for two weeks of initial monitoring and watering, after which AMHC assumes responsibility for ongoing maintenance and care per vendor specifications to fulfill a one-year warranty requirement. Site-specific accommodations include an on-site dump area for excess materials, water tank staging near the fence by the admission area, and temporary fence access for site work. The contract does not require staple attachment for landscape fabric due to potential material degradation concerns. Underground utility line verification was noted as pending confirmation due to facility age.

Pre-Bid Meeting -Willow Landscape Q: Does this process require a bid bond?

A: It does not require a bid bond.

Q: Do we have to use our own water?

A: Yes.

Q: Will there be a spot onsite to dump dirt, rock, chunks of concrete?

A: Yes.

Q: Bid says to water for 2 weeks then they are requiring a 1-year warranty. How can we guarantee a 1-year warranty if we are only required to monitored it for only 2 weeks?

A: AMHC will fertilize and continue proper care after the two weeks according to vendor specifications.

Q: The sod will need to be chemically treated. Will someone be able to treat it after the initial 2 weeks?

A: AMHC will continue proper care of the sod according to vendor specifications.

Q: Says that the fabric should be attached using staples. Staples will work their way up through the sod over time. Do you still want staples to be required for holding down the fabric?

A: No, not if there is a risk of staples working their way back out.

Q: Will there need to be grading involved.

A: Yes.

Q: Where can we set out water tanks when we bring them onsite?

A: Near the fence by the admission area. Area was shown to contractors.

Q: Can the fence be opened for access to the yard?

A: Yes. Fence must be put back in place like it was before being opened.

Q: Are there any underground utility lines present?

A: No, but not 100 percent sure due to age of facility. Will have to double check.

Q: Will you allow subcontractors?

A: Yes.
