About this file

This is a bidder response forms attachment set for an Invitation for Bid (IFB) 26-01 issued by SUNY Polytechnic Institute for the procurement of a nanoindentation system. The three mandatory submission forms require bidders to provide references and contract termination history, subcontractor information, and confirmation of mandatory requirements. Bidders must demonstrate a minimum of ten years of experience manufacturing or supplying instrumented nanoindentation system technologies and must be authorized by the original equipment manufacturer to sell, deliver, install, and support the quoted equipment in the United States. The bidder's professional service organization must be capable of providing onsite installation, testing, repair, and training with factory-certified personnel. Additionally, bidders must be able to provide onsite service within five business days of a service request and must honor all warranty requirements. All submissions must be made electronically to bids@sunypoly.edu by the deadline specified in the bid package.

Bidders are required to provide all relevant certifications for installation, service, and support, including applicable U.S. safety certifications such as UL/NRTL documentation, as CE-only certification is not acceptable at SUNY. Equipment must meet OSHA requirements with formal certification documents subject to SUNY Engineering approval prior to acceptance. Bidders must acknowledge that their proposed product, service, and solution fully complies with every technical, functional, operational, and performance specification outlined in the solicitation, with failure to meet any specification constituting grounds for disqualification. Bidders must identify and explain any cancelled or failed implementations of their proposed solution resulting in contract termination within the past five years or pending litigation. All correspondence, bid documents, training and service manuals, and certifications must be provided in American English and United States currency. The successful contractor will be required to comply with NYS Finance Law 139 and 139j & k (Lobbying Law), NYS Tax Law Section 5-a, and submit valid and current NYS Workers' Compensation and Disability Forms.
