ATTACHMENT C- INTERNAL CATALOG SPREADSHEET PANEL SYSTEMS 2026.xlsx

This is an internal catalog spreadsheet template for panel systems furniture submissions to the State of Mississippi's negotiated contract bid (1130-27-R-NBID-00026). The document provides detailed instructions for suppliers submitting product catalogs and establishes the data structure required for all catalog entries. Suppliers must populate the spreadsheet with individual product line items, each requiring mandatory fields including supplier name, supplier ID obtained from OPTFM (Office of Purchasing, Travel and Fleet Management), unique supplier part numbers, short descriptions (maximum 99 characters), comprehensive long descriptions (maximum 2,000 characters), NIGP five-digit classification codes, discounted contract pricing, manufacturer information, delivery timeframes in days (not ranges), unit of measure, product images, and hyperlinks to manufacturer websites. All entries must maintain uniqueness in specified columns, particularly the Supplier Part Number and Short Description fields, to prevent duplicate records in the catalog system.

The spreadsheet template designates pricing as required real number fields with two decimal places, capturing both discounted contract prices and manufacturer's suggested retail prices (MSRP). Suppliers must contact OPTFM at 601-359-3409 to obtain their Supplier ID before submission, and authorized representatives dealing on behalf of manufacturers must submit under the manufacturer's name and ID rather than their own. The document emphasizes strict enforcement of character limits (CHAR field specifications), uniqueness constraints, and data formatting requirements. All products offered must be listed individually on Sheet 1, with manufacturers' names used to label additional tabs. Delivery times must reflect maximum days to purchaser without ranges, and special search terms must be included to enhance product discoverability in the catalog system.
