About this opportunity

The City of Philadelphia is soliciting quotes for a Fire Studio 7 Upgrade under its Office Automation Program, with quotes due June 8, 2026. The LBE (Local Business Entity) certification question appears on the submission checklist but does not apply to the Office Automation Program itself.

The scope includes desktop and peripheral equipment for office automation systems, delivered configured and ready for use. The vendor must provide inside delivery to a loading dock (drop shipment not acceptable), installation, configuration, instruction, and training at the City's location. Debris removal is the vendor's responsibility. New equipment only — refurbished equipment is not acceptable.

Warranty requirements are manufacturer-backed: five years minimum for servers and IT appliances, four years for PCs and laptops, and three years for tablets, with full coverage on all peripherals including printers, copiers, and multifunction devices. Warranty periods begin after a 30- to 120-day acceptance window. Maintenance services, if requested, must include on-site support with next-day response within 24 hours and all parts and labor included; vendors select either a three-year or five-year maintenance term. Payment for maintenance is due after equipment delivery and City acceptance.

Quotes must be submitted through the PHLContracts platform (www.PHLContracts.phila.gov) using the Seller role. All mandatory tabs — General, Items, Questions, Terms & Conditions, Attachments, and Summary — must be completed, and unit costs for each line item are required. Vendors must submit product literature upon request and answer all mandatory questions before final submission. A Seller Office Automation Checklist and detailed Office Automation Form govern submission requirements and performance standards.
