About this file
This is an Office Automation Form for the City of Philadelphia, detailing equipment procurement and maintenance requirements for office automation systems. The form specifies that products must be delivered configured and ready for use, with installation and configuration provided by the vendor at the City's location. The City requests instruction and training from the vendor. The procurement includes desktop and peripheral equipment with debris removal by the vendor. The form does not indicate that refurbished equipment is acceptable for this procurement.
Warranty coverage requirements establish minimum periods of five years for servers and IT appliances, four years for PCs and laptops, and three years for tablets, with original equipment manufacturer warranty on all peripherals including printers, copiers, and multifunction devices. All warranty coverage begins after a 30 to 120-day acceptance period. Maintenance services, if requested, require on-site support with next-day response within 24 hours, including all parts and labor, with payment due after equipment delivery and acceptance by the City. The vendor must select either a three-year or five-year maintenance option. All deliveries must be inside deliveries to the loading dock, and vendors must submit product literature upon the City's request.
