About this opportunity

Coastal Carolina University is requesting quotes for HEPA filter replacement and certification services at its Marine Science Laboratory under RFQ CCU-9300822, with quotes due September 21, 2026 at 9:00 AM EDT and questions due September 16, 2026 at 9:00 AM EDT.

The scope encompasses removing and replacing HEPA filters in four Fan Filter Units (FFUs) and one Laminar Air Flow Workstation (LAFW), with certification testing and documentation for each unit. Amendment #2, issued September 18, increased LAFW filter quantity from one to two filters. Work must be completed within thirty calendar days of purchase order receipt. All replaced filters must be properly disposed of per applicable regulations, and work must coordinate with university personnel to minimize laboratory disruption. A Cleatech Vertical Laminar Flow Hood Model 1000-2 (6 feet) in an ISO-5 classified cleanroom and hood environment is the equipment subject to service. Amendment #1 clarified that vendors should not propose additional scope such as cleanroom or hood cleaning.

Pricing must be submitted as unit prices with separate identification of materials, labor, testing, and travel costs. The University will not include sales or use taxes in evaluation. All materials must be new with manufacturer's standard written warranty. Award will be made to the lowest responsible and responsive bidder.

Contractors must carry comprehensive general liability insurance with limits of at least $1,000,000 per occurrence, auto liability insurance with at least $1,000,000 per accident, and workers' compensation insurance as required by South Carolina, with the University named as additional insured on the general liability policy. Contractors must provide three references, obtain all required licenses and permits including a City of Conway business license, and register with the South Carolina Department of Revenue if nonresident to avoid 2% payment withholding under South Carolina Code Section 12-8-550.

This is a one-time purchase. Coastal Carolina University Procurement Officer Lauren DeMasi manages the solicitation at ldemasi@coastal.edu or 843-349-2189.
