About this opportunity

The Incorporated Village of Garden City, New York is requesting sealed bids for 2026 tree removal, pruning, stump grinding, planting, and emergency call services, with bids due August 6, 2026 at 11:00 a.m. EDT. Addendum No. 1, issued July 10, extended the original July 30 deadline and revised specifications for stump removal items (Items 2A–2F); bidders must acknowledge receipt of the addendum with their proposals.

The scope spans tree removal (Items 1A–1F), stump removal (Items 2A–2F), stump grinding (Items 3A–3F), tree planting, pruning, and emergency call services. Tree removal includes complete tree removal, disposal of wood chips and debris, installation of topsoil to match adjacent grade, grass seed installation, and traffic protection. Stump grinding and removal are separately billable line items. Tree planting requires contractors to pick up Village-furnished trees from stock near 108 Rockaway Avenue and transport them to installation sites. A significant cost driver is the watering requirement: contractors must water newly planted trees every other day for a minimum of three months (approximately 45 visits per tree), with additional watering as directed by the Engineer, Inspector, or Village Representative. All costs associated with the extended maintenance period must be factored into bid pricing, with work performed under prevailing wage labor rates.

The specification document does not detail specific item quantities, contract term length, or estimated contract value in the available portions. Bidders must acknowledge Addendum No. 1 with a completed acknowledgement page signed by an authorized company representative. All other provisions of the contract documents remain in full force and effect.

Details are within the Bid Specification Answers to Questions from Vendors: Can you please clarify exactly what the difference is between Items 2A-2F "Stump REMOVAL" and Items 3A-3F "Stump GRINDING"? Both items include the same description of the stump grinder, its wheel diameter, etc. Items 2A-2F - specification will be revised in an upcoming addendum. The due date for the bid will be changed. Regarding Items 1A-1F "Tree Removal," can you please confirm that all of the following tasks are expected to be included in each of these items: Complete removal of the tree Yes Disposal of all resulting wood chips and wood Yes Grinding of the resulting stump No, this is included in Item 2A-2F if stump is removed or this is included in Items 3A-3F if the stump is ground. Removal of the resulting grindings No, stump grindings will be included in Items 3A-3F if the stump is ground. Installation of top soil to fill hole and match adjacent grade Yes Any required traffic protection Yes Are we expected to provide and install grass seed, as well?Yes Regarding the "Tree Planting" items and spec, are these plants going to be delivered to the installation sites by Village trucks/employees or would we be expected to go to a location within the Village to pick them up? The spec mentions "receiving and transporting Village-furnished trees," but I just want to clarify how you anticipate that transaction taking place. Trees will be delivered to the Village, and the contractor will pick up and take trees from Village stock currently located near 108 Rockaway Ave. Also, the spec describes the tree being watered every other day for a minimum of 3 months. That's a lot of time to account for in the pricing, adding up to approx. 45 separate visits to that tree to water it (and possibly more, "as directed by Engineer/Inspector/Village Rep"). That's going to be significantly more time and expense than the time it would take to install the tree, especially given the prevailing wage labor rates that we have to use. Just to illustrate, if I were to set a tree planting item price as $100 to just include the labor for the actual planting of the tree (setting aside picking up of the tree from wherever and transporting it to the location), and I think the labor to water the tree would cost $50/visit, that $100 tree planting just became a $2,350.00 tree planting. Is that what you are expecting to see in these prices? We are expecting pricing to be inclusive of what is in the specification. After watering the tree every other day for 3 months, if a Village representative decides the tree needs to keep getting watered for another 2 months, how would we charge for that?Since the additional watering is not included in the bid price, it would be handled via a change order. Lastly, please confirm that the contractor is not required to warranty the life of the trees that the Village procures for installation. The Contract's Maintenance/Guarantee doesn't address that specifically. It reads more like a guarantee on workmanship, but since we are not supplying the trees, then the trees are not our material. If in the opinion of the arborist the tree died due to poor installation or lack of watering, the contractor would be responsible for the tree.
