MEDDAC Shredding Questions and Answers

1. With regard to page 22 section 1.53 (Hard Drives), it is my understanding that 1 bin (console) would be installed for the secure placement of hard drives. The pricing request details a quantity of 6, which should correspond to an every 8 week service frequency-please confirm.

Hard drive pricing is generally a per unit/per hard drive price---are you seeking a per unit/per hard drive price or a per container/bin price (if the latter, then it would be important to know the # of HD’s in the container). Please elaborate on what type of pricing you seek for HD destruction.

Answer: Quantity of 6, which corresponds to an every 8 week service frequency is correct. We are seeking a per container/bin price. There will be an estimated 4 to 6 hard drives per container/bin.

2. Do you required onsite HD destruction or off-site?

Answer: Would prefer on-site but off-site is acceptable for hard drives. Paper shredding must be on-site.

3. Pricing—is this open market pricing or GSA schedule pricing?

Answer: This contract is not being awarded off of a GSA Schedule. Pricing is competitive.

4. PWS 1.2 Scope of Work states "the contractor shall provide bins no smaller than 32 gallon (36"H x 20.5W x 16"D)." Is that the size bin that will be placed at each location? Or will larger bins be required at any of the sites?

Answer: No larger bins will be required. Bin size required is: Standard Console 32 Gallon, 36”H x

201/2”W x 16”D. Larger bins were not approved by the safety office.

5. PWS 1.4 states that "contractor shall place bins...within 5 business days of notification of award of contract." Is there any leeway on that turnaround time? Typically it will take 1-2 weeks to order, receive, and install bins.

Answer: One to two weeks is approved to install bins.

6. What quantities of hard drives are expected to be shred every 8 weeks at Kimbrough

Ambulatory Care Center?

Answer: 4 to 6 hard drives.

7. Do the hard drives have to be shred on-site? Or is off-site shredding acceptable?

Answer: Would prefer on-site but off-site is acceptable for hard drives. Paper shredding must be on-site.

8. Is/was there a current/previous contract in place?

Answer: Yes

9. What is the current/previous contract award #?

Answer: W91QV1-16-P-0294

10. Is this new solicitation Performance work Statement the same PWS as the current/previous contract?

Answer: The PWS is similar to the current contract. Hard drive shredding has been added.

11. Pg. 20 Section 1.4- Contractor to place bins within 5 business days of award. Can more time be allowed to install the bins? My concerns are the 10 day protest period for contractors to protest the award and this contract calls for a total of 106 consoles. It is not business wise to have a large inventory of containers stored. This total number may not be in inventory when contract awarded and would then need to be ordered.

Answer: One to two weeks is approved to install bins.

12. Pg. 22 Section 1- Bulk pick-up 4 pick-ups for 1,250lbs each year. Please clarify, will each pick-up be estimated 1,250 pounds or total estimated pounds for the year is 1,250 (average 312 lbs.

each pickup)?

Answer: Each quarterly pick-up will be an estimated 1,250 pounds which totals 5000 pounds per year.

13. Pg. 22 Section 1.52- Monthly service every 4th Thursday between 0700- 0800. Is there any flexibility for service day and is pickup only available from 7a-8a? Allowing flexibility will allow contractors to better fit the 2 locations into our already scheduled truck routes

Answer: Pickup can occur between 0700-0900.

14. Pg. 23 Section 1.9- OPSEC & iWatch training- Is this training online or physical reading training?

What is the estimated time to complete training? Will the Govt provide the contractor with training?

Answer: Training is online and each course takes less than one hour to complete.
