About this file

This document contains questions and answers regarding a federal contract solicitation for venue services. The solicitation is for a one-day conference venue for approximately 650 adults and 125 children from the Department of the Army Minnesota Army National Guard. The venue must be able to accommodate general session speakers with stage and seating for 65 rounds of 10 people at lunch, but the children will eat separately in childcare rooms so dining is only needed for adults. Theater-style seating without tables for 75-90 people across seven breakout rooms will not meet requirements.

W912LM-24-Q-0004 Questions

1. Can the general session and lunch tables be in the same room and the same set? So, 65 rounds of 10 people at each?

a. Is there a program where everyone needs to see a stage?

A. Yes, that setup can work! A general session with speakers will be happening for the first half of the day, so I’d say a stage would be nice to have.

2. Instead of classroom style for 100 people in 10 Conference rooms, could you do theatre style seating (chairs only, no tables) for about 75-90 people in 7 breakout rooms?

A. No, this will not work for the number of people and flexibility we need.

3. Are the 650 adults and the 125 kids eating in the same room or do you need total dining seating for 775 people (650 adults + 125 Kids)?

A. The kids will be eating in the childcare rooms so we will only need lunch seating for adults.
