Knowledge maps help organizations spot at-risk knowledge as well as problems with knowledge flow. APQC interviewed best-practice organizations to learn how they make and use knowledge maps.

What’s a knowledge map?

A visual representation of an organization’s intellectual capital. Knowledge maps help you understand what knowledge is critical, where that knowledge is, how it flows, and where gaps lie.

DEVELOP KNOWLEDGE TRANSFER PLAN

Identify ways to transfer critical knowledge through communities, mentoring, and so on.

TARGETED: Limit mapping to areas where it’s most needed. This option works best when you’ve already pinpointed critical knowledge to preserve, such as from retiring experts.

IDENTIFY KNOWLEDGE BY AREA

Start by talking to leaders and subject matter experts to clarify what knowledge is important in each business area or group.

ASSESS RISK

Decipher which knowledge areas are most important. Which knowledge, if lost, would cause the most damage? Best-practice organizations use standard risk criteria to assess maps.

DEVELOP AN ACTION PLAN

Reassess the KM strategy in light of map findings.

Are you focusing your KM approaches on the organization’s biggest knowledge problems?

Create a strategy to fix knowledge gaps and protect at-risk knowledge.

How strategically relevant is the knowledge?

How widely can it be leveraged across the organization?

How likely is the organization to lose the knowledge?

How urgent is the need or opportunity?

How available and committed are the mapping candidates?

Clearly explain the goals of the exercise and make participants feel valued

Use a standard process and templates to ensure consistency

Include a skilled facilitator and do your homework so you ask the right questions

Validate map with key stakeholders before finalizing
