About this file

This document is a combined synopsis and solicitation for hosting a Yellow Ribbon Event. The solicitation seeks quotes for conference space, meals, lodging, and related services to host a one-day event for approximately 500 military attendees and their families. Services required include conference space with a general session room and breakout rooms, registration area, childcare rooms, counseling rooms, and an operations center. Quotes should include separate line items for each service requirement and should remain valid for 30 days. The evaluation will consider price, technical, and past performance factors. The solicitation is set aside for small businesses and issued by the Department of the Army National Guard. The closing date for quotes is not specified.

1. Many hotels only have limited A/V equipment so I'd really appreciate it if you can let me know which of the A/V equipment needed for the event your military ouit may be able to provide. This will enable us to focus more closely on the most suitable facilies without being limited by A/V availability.

The Government will only require equipment that is stated in the PWS in secon 5.5.2. The Government will provide their own laptops and computers.

2. Is it acceptable that the breakout rooms are set up theater style?

The theater style is acceptable as long as there is enough seang facing the speaker and enough room for the presenter to stand.

3. Is the preferred setup for the general session room theater style?

The General Session room needs to have tables that can accommodate groups of 6-8 people per table and must be in accordance with secon 5.6.3 of the PWS.
